Position Overview

We are seeking a detail-oriented and highly organized Specialist, Payroll & Equity Plan Administration to join our dynamic team. This dual-role position requires a combination of payroll expertise and experience in managing employee equity compensation programs. The ideal candidate will be responsible for processing payroll in a timely and accurate manner while also administering the company's equity compensation plans, ensuring compliance with regulations and fostering employee understanding of equity programs.

Responsibilities
  • Process semi-monthly payroll for all employees, ensuring accuracy in earnings, deductions, and benefits.
  • Review and verify payroll data for discrepancies and resolve any issues promptly.
  • Respond to employee inquiries regarding payroll-related questions and discrepancies.
  • Prepare payroll journal entries, accrual calculations and account reconciliations related to payroll related activity.
  • Coordinate with HR, benefits, and finance teams to ensure seamless integration of payroll with other company systems.
  • Participate in special projects involving the payroll service provider.

Equity Plan Administration:
  • Administer employee equity compensation programs, including stock options, RSUs, ESPPs, and other related equity-based plans.
  • Maintain accurate records of equity grants, vesting schedules, exercises, and other transactions.
  • Ensure timely and accurate processing of equity-related transactions, including grants, exercises, and sales.
  • Collaborate with legal, tax, and finance teams to ensure compliance with securities laws, tax regulations, and accounting standards related to equity compensation.
  • Assist employees with understanding their equity awards and provide guidance on topics such as vesting, taxation, and exercise options.
  • Prepare regular reports for internal stakeholders on the status of equity grants, exercises, and plan participation.

Compliance & Reporting:
  • Ensure all payroll and equity plan activities comply with relevant federal, state, and local regulations. Manage the preparation and distribution of employee tax related documents for payroll and equity.
  • Maintain confidentiality and security of all payroll and equity plan data.
  • Assist with audits and provide necessary documentation related to payroll and equity plans.
  • Stay up to date with changes in payroll, tax, and equity compensation regulations to ensure compliance and best practices.

Qualifications
  • Bachelor's degree in Accounting, Finance, Human Resources, or a related field, preferred.
  • A minimum of 5+ years of combined years of experience in payroll processing and equity plan administration.
  • Prior experience in equity plan administration is a requirement. Biopharma experience is a plus.

Knowledge and Skills
  • Strong understanding of payroll processes, tax laws, and regulatory compliance.
  • Knowledge of equity compensation plans and tax implications related to stock options and other equity-based compensation.
  • Proficient in payroll software and systems (e.g., ADP, Paylocity, or similar) and MS Office Suite.
  • Exceptional attention to detail and organizational skills.
  • Strong communication skills, both written and verbal, with the ability to explain complex topics clearly.
  • Ability to handle confidential information with discretion.
  • Certifications (preferred):
    • Certified Payroll Professional (CPP) designation.
    • Certified Equity Professional (CEP) designation.


Washington State Pay Range

$92,976-$116,700 USD
