Description:

This position is located in San Jose, CA. This is a full time position requiring work on-site, 5 days a week.

Responsibilities:
  • Manage the Medical Director's calendar of meetings and clinical schedule of appointments; anticipate schedule conflicts and take initiative to resolve them in a timely manner
  • Act as a liaison between the Medical Director, patients, clinicians, and vendors
  • Coordinate communication effectively between all parties involved
  • Multitask effectively under pressure
  • Take meeting minutes.
  • Manage Director's calendar, including scheduling and blocking of calendar.
  • Adaptability to difficult situations and quick learning ability
  • Willingness to undergo training in medical transcription and communicate effectively in this regard
  • Prepare and edit letters and other correspondence for Medical Director
  • Other duties may also be assigned
  • Provides a broad range of high-level, specialized administrative support to the Medical Director
  • Prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines
  • Ensure the privacy of each patient's protected health information

Desired Qualifications:
  • Prior work experience in fast-paced environment at a large or complex organization
  • Minimum of 4 years of experience in the same or a similar role

Education and Experience (Required):
  • Bachelor's degree required, Master's degree preferred
  • Minimum of 4 years of experience in the same or a similar role
  • Experience and strong knowledge in a variety of computer software applications in word processing, spreadsheets, database and presentation software. Full MS Suite {MSWord, Excel, PowerPoint). Google Docs and Google Sheets are also required

Knowledge, Skills and Abilities (Required):
  • Demonstrated extensive high-level administrative experience supporting executive level individuals
  • Articulate in both oral and written communication
  • Advanced proficiency in the English language
  • Demonstrated experience with office software and email applications
  • Excellent planning, organizational and time management skills
  • Professional, customer service-oriented demeanor
