Job Description:
The Executive Assistant will be responsible for performing a broad range of administrative duties to support senior leadership, including Vice Chairman, Senior Counselors, Vice Presidents, and Associate Vice Presidents. The role involves managing a complex schedule, coordinating travel, preparing correspondence, and assisting with office functions.
Key Responsibilities:
- Provide comprehensive administrative support to assigned executives, suggesting improvements in workflows, procedures, and tools to enhance efficiency.
- Prepare detailed domestic and international travel itineraries and ensure timely submission of expense reports.
- Draft, format, and proofread a variety of documents, including letters and correspondence related to your assigned responsibilities.
- Manage and coordinate a dynamic calendar for executives, including scheduling meetings, events, and travel arrangements (domestic and international).
- Arrange conference room reservations and coordinate catering, AV support, and other logistics for meetings and events.
- Handle and screen phone calls for executives, responding to general inquiries and providing assistance as needed.
- Support office-wide initiatives, including internal staff meetings, client briefings, leadership meetings, and monthly events.
- Provide backup support to fellow Executive Assistants during peak times or staff absences.
Qualifications:
- 8-10 years of progressively responsible executive administrative experience, supporting multiple high-level executives.
- Advanced proficiency with Microsoft Outlook; knowledge of PowerPoint and Excel is a plus.
- Strong skills in internet research, written correspondence, and excellent command of English grammar, spelling, and punctuation.
