SCHEDULE: M-T, 9 hours/F, 4 hours (in-office)

JOB SUMMARY: The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO for both professional and personal obligations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Generally, a Monday through Thursday in office and Friday (1/2-day Friday - remote) with availability to work some extended days and occasional weekend hours. This position will mirror the CEO's availability and may work some Fridays in office.

JOB SUMMARY: The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO for both professional and personal obligations. PRIMARY RESPONSIBILITIES:
- Collaborating closely with the CEO to stay well-informed about upcoming commitments and responsibilities, ensuring proactive and timely follow-up.
- Represent CEO by being a polished communicator through with various internal and external stakeholders.
- Overseeing a complex and dynamic business and personal calendar.
- Complete a broad variety of administrative tasks that facilitate the CEO's ability to effectively lead the organization, including assisting with special projects; designing and producing documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties and composing and preparing correspondence.
- Orchestrating meetings, including all logistical aspects, agenda creation and maintenance, as well as diligent follow-up on action items and crucial deliverables.
- Coordinating international and domestic travel arrangements, comprising itineraries, agendas, and expense reporting.
- Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials
- Effectively prioritizing conflicting demands, addressing matters expediently, and proactively shepherding projects to successful completion, often in the face of tight deadlines.
- Represent CEO by being a polished communicator through phone, email, and chatter with various internal and external stakeholders.
- Exercise a high degree of discretion due to confidential and sensitive information.
- Manage special projects as required and to a successful completion.
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Act as a "barometer," having a sense for the issues taking place in the environment and anticipating the CEO's needs in advance of meetings, conferences, etc.
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
- Provide event management support as requested.
- Provide hospitality to all guests and help to create a welcoming environment.
- Process and distribute daily mail.
KNOWLEDGE, SKILLS, ABILITIES, AND OTHER WORK REQUIREMENTS:
- High school diploma or equivalent. Bachelor's degree* preferred.
- Minimum of 3-5 years' experience supporting C-level executives. Experience supporting a CEO is required.
- Demonstrated the ability to interpret and analyze financial statements, budgets, and forecasts, with a strong familiarity with key financial metrics.
- Demonstrated analytical skills, with experience in data analysis that enables them to derive actionable insights to inform decision-making processes effectively.
- Demonstrated proficiency in travel and expense reporting.
- Demonstrated proficiency with Microsoft 365 (Outlook, PowerPoint, Excel, etc.)
- Must be a self-starter who can work independently, effectively prioritize and manage workload in a fast-paced environment. Must have exceptional follow-through, be detail orientated and able to multi-task effectively.
- Make appropriate, informed decisions regarding priorities and available time.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information and a high degree of professional maturity.
- Must have authorization to work in the US for any employer.
