AI-powered risk SaaS startup is looking for a Sr. Executive Assistant & Operations Manager to support their CEO and CTO. This is an exceptional opportunity to join a global team of 70+ while working directly with accomplished Founders with a proven track record of building successful public companies. As a partner to both Executives, you'll play a crucial dual role - providing EA support to maximize the Executive's impact while overseeing HR and office operations for their team including recruiting, onboarding, and benefits administration, while ensuring their Palo Alto office runs smoothly for a team of 20. This is a hybrid role, 2 days/week in-office (Weds & either Tuesday/Thursday) based in Palo Alto. 135-155K+ DOE + equity, 100% benefits, 401k, flexible PTO & provided lunches.

Responsibilities:
  • Provide high-level admin support to the CEO and CTO.
  • Manage calendars and scheduling, organize task lists, and book travel arrangements.
  • Assist with scheduling related to advisory and board commitments for the CEO.
  • Manage employee onboarding/offboarding processes, benefits administration, HR documentation, and compliance in partnership with external HR partners or legal counsel.
  • Plan and execute company retreats and team-building activities to foster a positive working environment.
  • Oversee day-to-day office operations, including workspace logistics, equipment management, and facility-related issues. Oversee relationships with external vendors and suppliers.
  • Collaborate with leadership on process improvement initiatives and policies.
  • Support sales coordination efforts, ensuring timely and accurate client documentation.
  • Manage expense tracking and liaise with the accounting team for finance-related tasks.
  • Provide balanced support to Executives, ensuring seamless coordination of tasks and priorities.
Qualifications:
  • 5+ years of experience providing high-level Executive Assistant support, ideally with 2+ years managing HR operations or a similar operational function.
  • Bachelor's degree in Business Administration, Human Resources, or a related field, or equivalent hands-on experience.
  • Exceptional written and verbal communication skills, with the ability to craft clear and concise messaging.
  • Quick learner with a proactive approach to problem-solving.
  • Capable of working independently with minimal supervision.
  • Professional, composed, and adaptable in dynamic environments.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong ability to manage multiple priorities and shift between tasks efficiently.
  • Detail-oriented with a track record of handling multiple projects under tight deadlines. Strong intuition for prioritization, with the ability to multitask effectively in a fast-paced setting.
  • Proficiency in Slack, GSuite, Notion, Rippling, Airbase, and familiarity with QuickBooks.
