Job Summary
Manage and provide oversight of the pre- and post-award sponsored project administration within the Coordinated Science Laboratory (CSL). Maintain departmental project accounting databases and files and prepare ad hoc reports as necessary. Supervise and mentor staff assigned specific duties related to sponsored project administration. Utilize professional judgment and discretion to serve as the primary grants and contracts point of contact for units served by the CSL under guidance from the Director.Duties & Responsibilities
  • Supervise and mentor staff assigned specific duties related to sponsored project administration. Providing guidance and reviewing work as needed to ensure efficient and effective processing of transactions submitted to the office, Manage daily operations of the Grants and Contracts research team; Approve Timesheets; Complete performance Reviews Promote the professional growth of the Grants and Contracts Coordinators ensuring they are adequately trained.
  • Collaborate with faculty in budget development for grant proposals and with campus units to facilitate the application/submission process to the Sponsored Programs Administration Office
  • Assist faculty and principal investigators with the management of their research projects and accounts, including assisting with their personnel budgets and various appointments and other charges to sponsored research projects.
    Monitor effort commitments on sponsored research projects, and assist in maintaining effort reporting in the Activity Reporting System (ARS); provide guidance to and respond to inquiries from faculty related to effort reporting.
    Oversight and management of personnel budgets by redistributing appointments of principal investigators and research staff in response to changes in research effort.
  • Manage the post-award support to researchers including: Monitor expenditures against budgets to ensure compliance with sponsor and University policy and procedural requirements. Prepare documents related to budget modifications, sub-awards, no-cost extensions, renewal funding, supplemental funding, and various internal and external reporting requirements. Facilitate project close out functions in accordance with Sponsor, University and Departmental guidelines
  • Monitor accounts for funding and allowed charges for TEM, iBuy and Purchase Orders ensuring compliance with federal, state and University guidelines related to fiscal transactions
  • Facilitate financial requests to sponsors as well as re-budgets and monitors the receipt of funding for grants & contracts
  • Act as Unit Security Contact for CSL and ITI; prepare and maintain requests as the USC
  • Responsible for the maintenance and oversight of the departmental chart of accounts in Banner, and the Engineering HR application system to ensure timely, complete and accurate appointments submitted by faculty and advisors; prepare ad hoc reports as necessary; Serve as research funding liaison to units within the College of Engineering and Campus-wide; Oversee the integration of financial data from multiple university systems.
  • Act as back up for the Associate Director of Business Operations
  • Assume additional appropriate duties to further the research mission of the unit
Specialty Factors

Bachelor's degree in business administration, accounting, finance, economics or a field related to the position
Five (5) years of experience in sponsored project administration (i.g., proposal preparation, grant & contract administration, university collegiate accounting practices and fiscal oversight, system planning, and/or general organization)
Preferred Qualifications

Master's degree in Business Administration, Higher Education Administration, or a related field
Knowledge, Skills and Abilities
  • Established knowledge of University core financial and research applications (Banner and HRFE, my-UI-Financials, myProposals, myResearch Portal, Fastlane, grants.gov). Appointment Information

This is a 100% full-time Civil Service 5040 - Grants and Contracts Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 3/3/2025. The budgeted salary range for the position is $85,00 to $100,000. Salary is commensurate with experience.
