Description:

The Sales Tax and Compliance Manager ensures the organization's compliance with sales tax, insurance, and other regulatory requirements. This role involves monitoring, analyzing, and managing tax filings, compliance processes, and insurance policies while staying current with legal and regulatory changes. The ideal candidate will possess strong analytical skills, a deep understanding of tax law, insurance compliance, and excellent organizational abilities to manage multiple deadlines.

Key Responsibilities

Tax Compliance
  • Tax Filing and Reporting:
    • Prepare, review, and file accurate and timely sales tax returns in multiple jurisdictions
    • Configuration and ongoing maintenance of transaction tax calculation software
    • Ensure compliance with varying state, local, and international sales tax laws
    • Exemption certificate management; preparation of internal certificates and review/approval of customer certificate submissions
    • Prepare and analyze annual tax provision calculation and respective tax reconciliation workpapers in accordance with ASC 740
    • Prepare and review multi-state federal and state tax return calculations, and manage external consultants to finalize and file US tax filings
  • Audit Management:
    • Lead and manage sales tax audits, including responding to inquiries, gathering documentation, and ensuring proper resolution
    • Assess and implement changes in GAAP disclosure requirements for accounting for income tax (ASC 740) and draft necessary disclosures
  • Tax Registrations:
    • Oversee new jurisdiction tax registrations and manage existing licenses
    • Business registration for new states and jurisdictions
    • Monitor nexus thresholds and ensure compliance with state and local requirements
  • Policy and Process Development:
    • Design and implement internal sales tax compliance policies and procedures
    • Identify process improvements and implement automation tools to enhance accuracy and efficiency
  • Tax Research and Advisory:
    • Stay updated on legislative changes and rulings impacting sales tax compliance
    • Research and manage taxability by service type for new jurisdictions
    • Participating in projects throughout their lifecycle - from design through delivery - with an emphasis on testing to ensure that projects conform to the business requirements and rules
    • Advise stakeholders on sales tax implications for business transactions, contracts, and new products/services
    • Advise cost centers on proper completion of customer data and classification

  • Insurance Compliance
  • Policy Management:
    • Maintain accurate records of all corporate insurance policies, ensuring timely renewals and adherence to requirements
    • Coordinate with brokers to secure necessary coverage for property, liability, workers' compensation, and other business risks
  • Claims Management:
    • Oversee claims processes, ensuring timely reporting and resolution with insurers
  • Regulatory Adherence:
    • Ensure compliance with federal, state, and industry-specific insurance requirements
    • Maintain certificates of insurance and manage requests for proof of coverage
  • Stakeholder Communication:
    • Act as the primary point of contact for internal departments, vendors, and insurers for compliance matters

  • Qualifications

    Education and Experience
    • Bachelor's degree in Accounting, Finance, Business Administration, or a related field
    • 5+ years of experience in sales tax compliance or a related role
    • Prior experience managing multi-jurisdictional sales tax obligations

    Skills and Competencies
    • In-depth knowledge of sales tax laws, nexus rules, and exemption certificates
    • Familiarity with tax compliance software and ERP systems (i.e., Avalara, Vertex, SAP, Oracle, NetSuite)
    • Strong understanding of insurance coverage types and regulatory requirements
    • Excellent analytical, problem-solving, and decision-making skills
    • Proficiency in Microsoft Office Suite, particularly Excel
    • Exceptional organizational skills with the ability to manage competing priorities and deadlines
    • Strong written and verbal communication skills to effectively interact with stakeholders and external parties
