We are hiring for one full-time Administrative Analyst to join our Open Space and Trails team.

Schedule:

This hybrid position combines remote work and office hours. The standard schedule is Monday through Friday. The role also requires monthly evening meetings or events and occasional weekend hours for special events.

Salary Range: $34.88 - $47.20 /hour

Ideal Candidate:
The ideal candidate will have a passion for open space and trails, with background in financial/budget management, community engagement, volunteer coordination, event planning, marketing, team building/retreat planning, and department coordination. The position requires an understanding of municipal government financial procedures related to managing contracts, paying bills, and budget support for the department's budgeting and procurement needs. They should possess excellent communication skills (written and verbal) and be able to effectively engage with the public. Experience with coordinating community events/meetings will also be helpful. Additionally, it is desired that the ideal candidate will be able to assist with the administrative support of volunteer programs, projects, and events.
Typical Day:
Although no day is typical, the work day may include a portion of time working from home, team meetings in the office, and/or responding to resident requests for information. Some days may involve assisting with weekend volunteer projects or evening community engagement events. Having a flexible schedule, especially during the summer months, is essential for this position. This position requires the person to address a variety of tasks that are reprioritized frequently given department needs.
Essential Required Tasks/Examples of Duties

  • Coordinates the department budget, purchase and payments to contractors
  • Manages a variety of skilled professional administrative and analytical work in support of financial services, municipal/corporate policies, and organization procedures
  • Researches, compiles, and analyzes data; presents findings and makes recommendations to department head
  • Researches, coordinates, and administers programs of various operational needs of the assigned department
  • Assists in planning, developing, and implementing department goals, objectives, policies, and procedures
  • Makes recommendations on policy related to financial processes and department workflow
  • Compiles and analyzes data, performs computations, drafts narratives, assimilates divisional requests, assists in making adjustments to budget caused by reductions or modifications, and reviews expenditures to determine budget status
  • Monitors expenditures to assure sound financial management
  • Compiles, interprets, and prepares data for studies, reports, and recommendations
  • May serve as a representative of department in disseminating information regarding operational and procedural aspects of the department
  • Compiles special periodic reports and compose non-routine or technical correspondence
  • Assists in design and implementation of systems and programs
  • Provides responsible, professional, and technical administrative duties to department head and team
  • Works closely with all Open Space and Trails team members to further the mission of the department
  • Coordinates team building with other department employees and coordinates/develops the annual department retreat
  • Tracks planning and engineering submissions and resident questions so that staff may respond in a timely manner.
  • Assists with the administrative tasks related to onboarding of volunteers to various volunteer programs such as the Coyote Crew, Nature Program, and Wildlife Masters and ensures that all required forms for service are completed and are updated as required.
  • Coordinates all aspects of the Open Space and Trails Advisory Committee (OSTAC) meetings. These tasks include taking minutes, reviewing the minutes with Open Space and Trails staff, reviewing draft agendas, posting agendas, setting up virtual meetings, scheduling meeting rooms and providing refreshments and meals for meetings, as necessary. This position also assists with the Broomfield-Westminster Open Space Foundation meetings by coordinating memos and meeting logistics.

Minimum Qualifications
Education
  • Bachelor's degree from an accredited college or university in public or business administration, leadership/management, economics, finance/accounting, data management - required.

Experience
  • 2 years experience in administrative support that includes data analysis/management or business analysis to include process optimization, communication, and resource management in such roles as project coordinator/manager, HR or operations coordinator, and data analyst/entry clerk - required.


Years of related experience may be substituted for required education, however education cannot be substituted for the necessary work experience. Candidates must meet the minimum required years of work experience.
NECESSARY SPECIAL REQUIREMENTS (in addition to above requirements):

  • The employee must be able to move around the department in order to perform routine tasks, assist customers, and attend meetings.
  • Physical demands are light and employees must sometimes push and lift items up to 10 lbs. to maintain safety and remove obstructions for community accessibility.
  • Employees perform basic tasks and routine work on computers and other electronic devices with software designated to complete work.
