What would your role be?
- Proactively manage calendar, scheduling meetings, appointments, and conference calls while considering time zone differences and priorities.
- Screen and prioritize incoming meeting requests, calls, emails, and correspondence, effectively communicating key information
- Arrange domestic and international travel, including booking flights, accommodations, and ground transportation.
- Prepare agendas, gather relevant materials, coordinate logistics and take detailed meeting minutes for key meetings and presentations.
- Draft and edit confidential documents, reports, presentations, and correspondence as needed, ensuring accuracy and professional presentation.
- Assist with special projects including marketing and client activities while tracking progress and ensuring timely completion of all tasks.
- Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and senior executives.
- Handle correspondence with senior stakeholders professionally in both English and Spanish.
What we are looking for?
- A minimum of 5 years of experience in a similar role within an international company, ideally in investment management or financial services.
- Commercial training, ideally complemented by further qualifications as an executive assistant.
- Advanced proficiency in MS Office (Word, PowerPoint, Excel, Outlook) and familiarity with modern communication tools.
- Strong written and verbal communication skills in both English and Spanish (knowledge of Portuguese a plus).
