POSITION DESCRIPTION:
All classes in the Secretarial Group perform duties composed of essentially the same basic activities and operations. Positions in these classes are allocated when the work of the supervisor requires full-time personal secretarial assistance. The level of secretary allocated is related primarily to the level of supervisor served. Typically, positions allocable to this class provide full-time personal and confidential administrative secretarial assistance to the chief deputy of a large and complex County department.
Essential Job Functions
Handles and resolves day-to-day inquires of the office (e.g., requests for information, complaints/concerns) from a variety of individuals (e.g., department managers, office staff, supervisors, members of the public) by answering and responding to phone calls and e-mails; clarifying the nature of said inquiry; developing independent or collaborative solutions; investigating causes of problems and/or sources of complaints; and following-up on situations in order to ensure successful resolution of problems or complaints and promote internal responsiveness, customer satisfaction, and quality end-results.
Collects and analyzes information and data (e.g., contact information, dates, locations, board topics, customer/client feedback) from individuals, records, and/or files (e.g., external entities, department managers and other departmental personnel, public records, personnel files, board letters and referrals, constituent inquiries and complaints); by compiling and sorting data (e.g., spreadsheets, graphs, documents); checking, verifying, comparing, and processing information; answering questions; solving problems; establishing accuracy and completeness in order to prepare reports, summaries, documents for consideration and presentation.
Manages the maintenance of supplies, records, and/or files by filing, cataloguing, and sorting data or materials in electronic or hardcopy format; ensuring supply inventory is logged and accounted for; and performing basic bookkeeping and distribution/requisition of payments in order to ensure accurate and appropriate safeguarding of office information; facilitate access and retrieval information; and ensure that invoices and payments are discharged and/or recorded in a timely manner.
Prepares a variety of documents (e.g., routine reports, email messages, letters, memos, and bulletins, other miscellaneous reports, and correspondence) by extracting information from documents, records, and/or files (e.g., public records, personnel files, board letters and referrals, constituent inquiries and complaints); and proofreading, transcribing, and editing information using a computer word processor and/or email application in order to accurately and effectively communicate information to various individuals (e.g., coworkers, supervisors, members of the public, vendors), and ensure that documents are completed in accordance with department policies and procedures.
Communicates with a variety of individuals (e.g., managers, coworkers, supervisors, subordinates, members of the public, vendors) by greeting and assisting office visitors; sharing and requesting appropriate information; answering questions; providing assistance; and directing individuals to the appropriate persons using various communication methods (e.g., email, phone systems, instant messenger, in-person communication) in order to ensure accurate communication and comprehension of information and provide quality customer and personal service.
Coordinates office activities by ensuring needed information is communicated to individuals (e.g., colleagues, manager, supervisor); making travel arrangements; scheduling appointments; reserving rooms and equipment; directing individuals to the appropriate location or resource; notifying office staff of appointments, conferences, training sessions, available facilities/parking via e-mail or phone in order for staff to be aware of and engage in office activities and events (e.g., conferences, departmental events, trainings, speaking engagements); and to ensure the office is operating in an efficient manner.
Performs a variety of routine clerical and administrative functions (e.g., printing information retrieved from files, calculating fees (e.g., invoices, requisitions, taxes) using arithmetic (e.g., addition, subtraction, multiplication, division, percentages), preparing travel and incidental expenses, maintaining scheduling and event calendars, maintaining employee time records); operating various office machines and equipment (e.g., personal computers and printers, scanners, calculators, smartphones, photocopiers, copy machines, phone systems) in order to complete forms, provide administrative and staff support, and ensure the office is operating in an efficient manner.
Reviews and improves office, clerical, and secretarial procedures (e.g., formatting of documents, office layout) by observing own work and staff work; recognizing the need for procedural improvement; collecting, analyzing, and summarizing data for review (e.g., number of calls received, laptops borrowed per week, attendance); determining the pertinent changes that would be most appropriate; and providing recommendations on how the changes should be implemented in order to ensure the office is operating in an efficient manner.
