Description

The 25 Executive Directors of the World Bank Group (WBG) Board, assisted by their Alternates, Senior Advisors, Advisors and Administrative and Client Support staff represent the interests of the 189 member countries who nominated or elected them. They also ensure the oversight of the general operations of the Group and the group's results on the ground. The institutions under their purview are the International Bank for Reconstruction and Development (IBRD), the International Development Association (IDA), which together form the World Bank; the International Finance Corporation (IFC); the Multilateral Investment Guarantee Agency (MIGA); and the International Centre for Settlement of Investment Disputes (ICSID). The WBG is one of the world's largest sources of funding and knowledge for developing countries. Its Board, working closely with management, approves several policies, financial commitments and knowledge products that ensure the best global expertise and help generate cutting-edge results for its clients in developing countries.

The Office of the Executive Director (ED) for Angola, Nigeria, and South Africa (EDS25) is looking for a highly motivated, pro active and experienced staff member, with excellent administrative, organizational, communication and interpersonal skills, to join the office as a Senior Executive Assistant.

The Executive Director's Office deals with all aspects of the Bank's work, interacts with Senior Bank Management, staff in other departments in the Bank, IFC, MIGA, as well as ministries, governments, embassies and high-level officials, representatives from the private sector, non-governmental organizations, academia, and others from the countries represented. For these reasons, candidates should have a proven track record of working with diplomacy and tact, building and maintaining effective working relationships with colleagues inside and outside the WBG, and working well under tight schedules.

The Senior Executive Assistant actively participates in daily office work as a key member of the front office team and provides a crucial support on administrative and logistical related issues to all EDS25 members. The applicants shall demonstrate excellent organizational and communication skills, be adaptable and have experience of working with senior personnel in a fast-paced environment. Given the rotating nature of the staff, the Office relies on its Assistants to ensure that the Office runs smoothly and efficiently, and to assist our staff with managing these transitions, which usually happen in the summer. Candidates should be prepared to work occasionally under pressure, with some seasonal activity peaks (April, June, October), and in a very dynamic environment. The successful candidate will be able to demonstrate the highest standards of professionalism and pride in their work.

In addition to the Executive Director, the office consists of an Alternate Executive Director, Senior Advisors, Advisors, and a Program Assistant.

Note:

Administrative support staff hired into the Executive Directors' offices will be offered an initial 2-year Term appointment. Staff on open-ended appointments who are selected into the EDs' offices are strongly advised to obtain a re-entry guarantee from their releasing units to be able to return to open-ended status. An open-ended staff who does not have a re-entry to their releasing unit acknowledges that by applying to this position, they are entering into a Term position, if selected, and will not be able to maintain their open-ended status. Executive Directors must conduct an annual overall performance review for their administrative support staff consistent with WBG annual performance review processes.

Roles and Responsibility:

* Provides a full range of executive assistance, including high-level administrative and organizational support, to the Office of the Executive Director for Angola, Nigeria, and South Africa - EDS25 and works seamlessly as a team with the other Assistants.

* Serves as the main point of contact for the Executive Director for internal and external clients.

* Ensures the highest level of discretion, judgment, and diplomacy in providing a wide range of executive assistant support; sets priorities; manages the workflow in an efficient and organized manner.

* Fosters an inclusive and collaborative work environment in a multicultural setting, promoting respect and open communication among diverse team members to ensure the achievement of collective goals.

* Coordinate Executive Director's calendar, assess incoming agenda requests, identify critical issues, prioritize tasks effectively, and support office capacity to respond promptly to ensure timely and efficient decision-making.

* Prepares the documentation required by the Executive Director, the Alternate Executive Director for the WBG and other members of the team as needed for the various Board Meetings, Board Committee Meetings, retreats and operational travels.

* Plans and organizes operational travel missions on behalf of the Executive Director or the Alternate Executive Director, including the submission of the travel requests, the memos and the expenses reports.

* Prepares the program of meetings for the Office of the Executive Director and High Government officials at ministerial and technical levels during the Spring Meetings and Annual Meetings of the WBG and the IMF, giving administrative and logistical support to the EDS25 delegation and scheduling meetings between senior delegation members and WBG or IMF management / staff.

* Organizes meetings with Senior Bank Management for visiting High-Level Government officials and high-level Representatives of the private sector, especially supports the organization of seminars between the private sector and WBG officials working closely with the advisor in charge of these relations.

* Assists the office's Secretary General with monitoring WBG office budget for the EDS25 office.

* Keeps track of the tenure dates of staff in the Executive Director's office and assists the Executive Director with the administrative side of the recruitment and the advisors' rotation process.

* Stays informed on technological developments as introduced by the World Bank Group; makes sure all staff in the EDs office are informed and, if necessary trained, in using new tools; attends learning sessions when necessary and convenient with regards to their schedule.

* Contributes to office administration, maintains and updates contact lists, the filing system, and ensures the general efficient functioning of the Executive Director's Office, including ordering supplies and materials needed for the smooth running of the Office, archiving, managing/renewing newspaper subscriptions and any other necessary tasks.

* Maintains an extensive network of contacts at the most senior levels, internally as well as externally. This includes a wide variety of high-level contacts with the respective authorities of the constituency countries represented by the Executive Director's Office, other international organizations, NGOs and the public sector.

Selection Criteria

Minimum Education/Experience:
Must have a high school diploma, although a higher education degree would be preferred, and at least ten years of relevant experience, or equivalent combination of education and experience.
Extensive and diverse experience within the WBG or similar large organizations, with an in-depth knowledge of the full range of Bank Group or large institution processes, technologies, policies, and procedures, particularly with regards to institution-wide decision- making functions.

Demonstrates initiative in learning or supporting implementation of emerging technology and systems relevant to effective work of the unit. Proficiency in Outlook, Microsoft PowerPoint, Word, and Excel, with the ability to create professional presentations, analyze data, and generate reports to support decision-making and strategic planning.

Outstanding interpersonal skills and ability to interact with an extensive network of contacts at senior levels, both internally and externally, and a demonstrated ability to respond and deal effectively with diverse situations that require good judgment, tact and diplomacy.
Demonstrated skills in organizing, prioritizing, scheduling and planning to coordinate work and monitor multiple and diverse work processes to ensure management decision and directives are properly carried out and delivered on time.
Demonstrated ability to work independently with high level of discretion, proven track record in managing confidentiality as well as strong personal ethics and sound judgment.
Flexibility with working hours during peak periods of work and willingness to work overtime during such period or when foreseen and discussed with the ED/AED.
