The Senior Specialist Legal & Insurance position plays a pivotal role in supporting the Legal Department by managing key functions related to corporate insurance, legal compliance, and administrative coordination. This position ensures the effective handling of insurance programs, claims management, and corporate documentation while facilitating seamless communication between internal and external stakeholders. With a focus on organization, compliance, and operational efficiency, the Senior Specialist contributes to the department's success by providing essential support for legal processes, financial oversight, and strategic initiatives.

Explore your tasks and responsibilities
Corporate Insurance Program: Oversee the corporate insurance program, including managing renewals, audits, certificates of insurance, and providing monthly reporting.
Insurance Claims Management: Manage general liability, auto, workers' compensation, OCIP, CCIP, professional, and pollution insurance claims. Responsibilities include updating the claims matrix, monthly reporting, tracking claim expenses, ensuring timely responses, creating claim folders, drafting claim summaries, managing Document Storage System folders, and ensuring proper storage of emails and documents.
Coordinate Legal Deadlines: Track and manage response deadlines for non-insurance matters, working with inside and outside counsel to ensure timely and effective responses. Responsibilities also include updating the claims matrix, tracking expenses, creating claim folders, managing Document Storage System folders, and ensuring proper documentation storage.
Corporate Records Management: Maintain corporate books, draft resolutions and consents, ensure up-to-date and accurate corporate documentation. Process ROP requests, obtain approvals, and manage Power of Attorney (POA) requests and listings.
Licensure Compliance: Track, renew, and obtain necessary business registrations and professional licenses, ensuring ongoing compliance with relevant regulatory requirements.
Forecast, Invoicing, and Budget Management: Prepare and oversee the Legal Department's budget and financial forecasts. Track legal invoices, provide monthly financial reporting, and ensure invoices are properly coded and paid on time.
Expense Reporting: Prepare and analyze expense reports for the Legal Department, identifying trends and opportunities for cost savings.
Travel Coordination: Arrange travel for the General Counsel, including booking flights, hotels, car rentals, and managing travel calendars.
Calendar Management: Coordinate and manage the General Counsel's calendar, scheduling meetings, appointments, and deadlines to optimize time management.
Administrative Support: Provide comprehensive administrative support to the General Counsel, Senior Counsel, and Staff Counsel, including preparing documents and coordinating meetings.
M&A Support: Assist with mergers and acquisitions, managing the knowers list and NDAs, and supporting related legal activities.
Monthly Reporting: Produce detailed monthly reports for the Legal Department, summarizing spending patterns and identifying potential risks.
Filing System Management: Oversee and organize the Legal Department's filing system to ensure efficient document retrieval and storage.
Contract Review Tracking: Track internal contract review requests, ensuring timely processing.
Presentation Preparation: Prepare presentations for Legal, Insurance, and Compliance matters.
Liaison for Legal Matters: Serve as a liaison between internal and external parties to investigate and resolve legal matters, ensuring clear communication and effective issue resolution.
Legal Intranet Management: Maintain documents on the Legal intranet, ensuring that the most current versions are uploaded and easily accessible.

- Bachelor's degree plus 3-5 years of experience or 7-9 years of relative experience
- Ability to adapt and respond to requirements of the team.
- Must have exceptional communication skills, including writing and verbal skills to interface effectively with all levels of leadership and staff (e.g. memo, presentations, correspondence, and email)
- Ability to work efficiently and possess excellent time management skills
- Outstanding organizational skills and be detail oriented
- Exceptional organization and coordination skills
- Prior experience in administration support
- Working knowledge of Microsoft products (e.g. Word, Excel, Power Point, Outlook, etc.)
