JOB OVERVIEW
The Senior Conference Services Manager is responsible for leading the Conference Services team, ensuring seamless coordination between clients, vendors, and hotel departments. This role will oversee event planning, execution, and post-event follow-up, ensuring that every detail aligns with Forbes 5-star luxury service standards.
The ideal candidate will be a highly organized, detail-oriented leader with extensive experience in luxury hospitality, event planning, and conference services management. This position requires exceptional client relationship management, problem-solving skills, and the ability to lead a team in executing flawless, high-profile events.

PHYSICAL ABILITIES

Leadership & Team Management
- Leads, mentors, and develops the Conference Services team, ensuring seamless coordination and execution of events.
- Assigns event responsibilities to the Conference Services Team, ensuring each event is managed effectively.
- Conducts regular training sessions and pre-event briefings to maintain Faena's luxury 5 star service standards.
- Works closely with the Director of Catering to refine operational strategies and improve team performance.
Event Planning & Client Relations
- Serves as the primary liaison for high-profile clients, corporate groups, and VIP guests, ensuring a luxury planning experience.
- Oversees all event logistics, including venue setup, audiovisual needs, banquet planning, and guest accommodations.
- Conducts site visits, menu tastings, and planning meetings to provide personalized service.
- Ensures all contracted event details, timelines, and service agreements are properly executed.
Operational Execution & Event Oversight
- Leads on-site event execution, coordinating with Banquets, Culinary, and F&B teams to ensure flawless service.
- Supervises the setup, execution, and breakdown of each event, ensuring adherence to Faena's 5 star luxury standards.
- Handles real-time problem-solving, addressing any last-minute challenges with professionalism and efficiency.
- Conducts post-event evaluations to assess guest satisfaction and improve future event execution.
Financial Management & Revenue Growth
- Assists in developing pricing strategies, event packages, and revenue forecasts to optimize profitability.
- Works with the Sales and Catering team to maximize revenue opportunities through strategic upselling.
- Ensures accuracy in billing, contract compliance, and financial reconciliation for all events.
Luxury Brand Standards & Innovation
- Stays ahead of event industry trends and luxury hospitality innovations, integrating new ideas into Faena's conference offerings.
- Develops and executes customized, high-end event concepts to elevate Faena's reputation as a premier luxury event destination.
- Fosters relationships with key corporate clients, event planners, and luxury partners to attract high-profile business.
Qualifications
- Education: Bachelor's degree in hospitality, Event Management, Business Administration, or a related field preferred.
- Experience:
- Minimum 7+ years in luxury conference services, event planning, or high-end hospitality operations.
- Proven experience managing corporate events, high-profile social functions, and VIP experiences.
- Experience working in a Forbes 5-star or ultra-luxury hotel environment preferred.
- Skills & Competencies:
- Exceptional organizational and project management skills.
- Ability to manage multiple high-profile events simultaneously.
- Strong client relations, negotiation, and communication skills.
- Financial acumen with experience in budgeting, forecasting, and revenue optimization.
- Knowledge of event technologies, audiovisual setups, and digital event platforms.
- Proficiency in event management software and hotel systems (Delphi, Opera, etc.).
- Schedule Flexibility: Must be available to work nights, weekends, and holidays as required by event schedules.
- Languages: Fluency in English required; proficiency in Spanish or other languages is a plus.
