About the role:

As a CBRE Moves Sr. Coordinator, you will provide sophisticated administrative assistance and implementation support to the Moves, Additions, and Changes (MAC)team in the delivery of projects. Move Services encompass the comprehensive management and coordination of all aspects of the physical move process. These services involve close collaboration with various departments, including Facilities, IT, Security, Occupancy Planning, Design, Fit-Up, Vendors, and other cross-functional teams, to ensure moves are driven in accordance with expectations.

What you'll do:

Responsibilities span from the coordination of individual personnel moves to large-scale relocations, while also ensuring that operational requirements and timelines are met. Key functions include the organization of personnel and equipment moves, scheduling, vendor coordination, post-move support, and cost management, with a focus on efficiency, quality, and satisfaction of all collaborators. Specific duties include:
  • Interface directly with end users to define project requirements. Develop, lead, and track move project scopes, budgets, and schedules, ensuring that all projects are completed on time and within budget.
  • Lead and mentor a team of move coordinators, to ensure successful and efficient project.
  • Work with the planning team on validation of desk locations and resolve discrepancies; ensure accuracy of origin/destination maps.
  • Drive web-based move instructions and seating assignment data. Update as required.
  • Lead and attend regularly scheduled meetings to communicate move details. Ensure appropriate staffing for all moves.
  • Provide post move support to employees, ensuring that any issues are promptly addressed and resolved in a timely manner.
  • Implement communication plans, facilitate meetings, and ensure that collaborators are kept informed of progress, risks, and issues. Maintain ongoing communication throughout the project to ensure end user satisfaction.
  • Maintain accurate and comprehensive project documentation, including updates and compliance with end user and company requirements.
  • Proactively identify and communicate risks to the project's scope, budget, or timeline, and implement mitigation strategies. Manage change requests and adjustments as vital.
  • Collect and analyze move data, preparing and presenting reports on move-related details and expenditures.
What you'll need:
  • Bachelor's degree or equivalent experience in project management, logistics, or related field.
  • Minimum of 5-7 years of experience in move coordination or project management.
  • Experience leading vendors, with strong interpersonal and communication skills.
  • Proven experience in managing large-scale projects, including scope, budget, and schedule management.
  • Strong problem-solving abilities, with the capacity to handle high-pressure situations, tactful communication and decision making. Ability to manage multiple tasks simultaneously.
  • Strong organizational skills and attention to detail.
  • Ability to work flexible hours and travel within the Bay Area, as needed, for project oversight.
  • Proficiency in software and tools (e.g., Google Suite, MS Office, etc.), as well as web-based tools for managing facilities, occupancy and infrastructure.
  • Ability to safely lift and move up to 75 lbs. Scope of Responsibilities Decisions made with understanding of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisors. Safety Responsible for personal safety and the safety of those who are affected by your work. This includes but is not limited to:
1. Participate in all HSE related programs & activities as the need arises, including incident investigations, interviews, auditing and assessment, etc.

2. Report any condition which you feel could result in an accident or injury and / or stop work if required.

CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Senior Moves Coordinator position is $105,000 annually and the maximum salary for the position is $115,000 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on CBRE's applicable benefit program. This role will provide the following benefits: 401(K), Dental insurance, Health insurance, Life insurance, and Vision insurance.
