Job Description

PURPOSE OF POSITION
To oversee the operations of the obstetrics/gynecology outpatient practice, oversee staff.

AREAS OF RESPONSIBILITIES
Obstetrics/Gynecology Practice

SUMMARY OF DUTIES AND RESPONSIBILITIES
1. Manages day to day operations of the Obstetrics/Gynecology Practice
2. Provides daily supervision of Coordinating Manager.
3. Completes and submits staff performance evaluations by deadlines.
4. Maintains clerical staff coverage schedule and ensures adequate coverage.
5. Ensures that all visits are open/close in EPIC on a daily basis to maximize reimbursement.
6. Manages all workqueues in EPIC (e.g. referrals, registration errors, claims edit, etc.)
7. Ensures that clerical staff follow downtime procedures.
8. Facilitates biweekly clinic operations meetings
9. Coordinates in-service education and training for staff in the practice.
10. Facilitates clerical staff team meetings as necessary.
11. Maintains systems to monitor levels of supplies needed, as well as equipment repairs, routine maintenance, or upgrades in the practices.
12. In compliant with hospital policies: enroll staff for mandatory training and in-service education.
13. Makes studies of adequacy and effectiveness of general administrative and support
services and makes recommendations.
14. Oversees performance improvement activities related to practice
15. Prepares data for operating and statistical reports, analysis and makes recommendations.
16. Facilitates team meetings as necessary and attends management staff meetings, conferences and consults with Medical and Support Services departments.
17. Shares responsibility for addressing patient flow issues, satisfaction and other patient issues.
18. Liaison with other team leaders (Chief of Services, ADNs, Head Nurse, Other Practice Managers, ED) regarding templates, patient issues, equipment, etc.
19. Liaison with other ancillary services including Laboratory Medicine, Pharmacy, BioMed, Environmental, Receiving, Purchasing, Accounts Payable, etc.
20. Represent Pediatric practice in PCMH meetings
21. Assist in preparing operating plans and drafts of plans, policies, programs and procedures.
22. Participates in various work groups and committees, including but not limited to Patient Experience, Access Initiative, Helping Healers Heal, etc.
23. Participates in DMS activities
24. Identify areas of improvement as it relates to clinic operations
25. Support Registration workflow
26. Uses best practices to improve template management

Minimum Qualifications
1. A bachelor's degree from an accredited college or university in Business Administration, Social Sciences, Management, Health Care Administration or related discipline; and,
2. Six (6) years of full-time paid experience of program development in a hospital or health care facility in meeting community health needs, health care planning, financial planning, operations and analysis and implementation in an administrative, consultative, managerial or executive capacity; or,
3. A master's degree from an accredited college or university and five (5) years of full-time paid experience at the level indicated in (2) above.
4. Demonstrated skills in written and medical communications; or,
5. A satisfactory equivalent of education, training and experience.
