Job Title: Payroll Director
Summary: As the leader of the payroll department, the Payroll Director is responsible for establishing policies, procedures, and controls to ensure accurate and timely payroll processing. This role manages a team of 5-6 members who administer the payroll function for both administrative and field personnel across our client's branded entities. The Payroll Director processes payroll in UltiPro and is responsible for enterprise-wide accurate payroll reporting, filing, tax remittance, and overall compliance with all regulatory obligations.
Essential Duties and Responsibilities:

This role manages a team of 5-6 members who administer the payroll function for both administrative and field personnel across our client's branded entities. The Payroll Director processes payroll in UltiPro and is responsible for enterprise-wide accurate payroll reporting, filing, tax remittance, and overall compliance with all regulatory obligations.
Essential Duties and Responsibilities:
- Collaborate with Employee Resources and Payroll Supervisor/Payroll Administrator to maintain accurate payroll database information in both UKG and ECMS.
- Process bi-weekly salaried payroll in UKG according to SOP and upload payroll files to the respective banking website.
- Serve as the key point of contact for both ERP provider and UKG payroll software provider, managing modifications and software upgrades.
- Ensure compliance with all state payroll regulatory requirements.
- Perform quarter-end and year-end balancing.
- Review and approve all 940 and 941 filings and supporting workpapers.
- Conduct required year-end reconciliation procedures to ensure W-2 data is accurate and filed timely.
- Review and approve all quarter reconciliation procedures.
- Upload all electronic federal and state W-2s.
- Provide monthly financial reporting to internal partners for company employees working abroad (ex-patriots).
- Coordinate with Employee Resources and external CPA firms to ensure ex-patriot withholdings and deductions are properly administered.
- Ensure compliance with all foreign payroll obligations.
- Report and remit necessary Canadian payroll taxes for ex-patriots working in Canada.
- Manage team to ensure unemployment filings and remittances are filed and paid by established due dates.
- Process Department of Labor monthly reports for multiple states and quarterly reports.
- Transmit weekly files for 1095C's to the third-party administrator.
- Process Affordable Care Act Reporting annually.
- Write Cognos Reports and IDI Views.
- Assist Controller with wage gross-up calculations for employees with indefinite project durations.
- Assist Controller with state and federal projects related to payroll administration.
- Identify process improvements that result in improved efficiency, more accurate information, and/or greater assurance.
- Hire, train, coach, discipline, and develop employees to achieve and maintain positive working relationships within the department.
- Achieve desired results through effective leadership and adherence to established policies and procedures.
- Supervise employees in the Payroll Department.
- Determine methods and course of action to achieve departmental and organizational goals through effective planning and efficient performance.
- Model and reinforce safety as a top priority of the organization.
- Meet schedules and deadlines, adhere to policies and procedures, and maintain a good attendance/tardiness record.
- Ensure client satisfaction through positive, pleasant, professional, and efficient handling of issues.

- Utilize Microsoft Office-based applications and project management software systems appropriate for this role.
- Bachelor's degree and 10 years' related experience and/or training, or equivalent combination of education and experience.
