What You'll Do
- Be a Trusted Partner to the Operational Leadership of the Business: Support the SVP and West Region Operations leadership team with essential tasks and updates to drive informed decision-making and the performance of the business:
- Facilitate POD Call Structure and Logistics
- Collaborate with Corporate Functional Groups to support Operations
- Support the creation of and provide reporting back to key stakeholders on essential functions of the business to include Account Receivable, Sales Growth, and other key metrics we leverage to run the business at top level
- Support Meetings of OPS and Functional Leadership
- Support Travel Approval Requests
- Support timely expense reporting
- Manage time allocation through forward thinking planning
- Be the connected tissue between the service lines in the business:
- Janitorial
- Engineering
- Parking
- Technical Solutions
- ABM Performance Solutions
- Facilitate Customer Communications and support client engagement through event management and key assets leveraged by ABM for client entertainment. Support ticketing system, Ticket Manager, that is leveraged by ABM to support clients.
- Manage the Southern California Office HUB in Los Angeles:
- Enhance Team Experiences: Lead a committee to plan and execute team-building events that foster unity and collaboration between the lines of business and the corporate support functions that are based in Southern California.
- Drive Operational Excellence: Ensure accuracy in compliance while supervising clerical and administrative personnel.
- Facilitate Smooth Onboarding: Own the onsite badging process and collaborate with Security, Property Management, and Talent Acquisition to ensure seamless new hire transitions.
- Act as the Key Point of Contact for the Los Angeles Office Property Management: Ensure compliance with Disaster drills for both Fire and Earthquake. Work through Property Management on any facility needs requirements. Manage vendors that support the LA Office.
- Stay Organized and Connected: Manage seating plans, phone systems, invoices, and other key office logistics that drive our high performance culture
- Solve Problems Creatively: Analyze situations and provide solutions that improve efficiency and outcomes.
KNOWLEDGE, SKILLS & ABILITIES
- Five (5) years of successful office management and administration experience
- High energy level and enthusiastic
- Proficient in Microsoft Office including Excel, Outlook, Word, Powerpoint, Teams
- Proven ability to work with various levels of staff and management
- Good communication skills both written and verbal
- Strong organizational skills
- Excellent interpersonal skills
- Ability to work in a team environment
- Sense of urgency to complete tasks and meet deadlines; self-directed
- Proven ability to handle confidential information
