The Administrative Supervisor is responsible for managing multiple operations: The operations of the Chair's executive office, direct supervision of minimum three FTEs, and the management of the Chair's special initiatives and commitments. Reporting to the Department Chief Administrative Officer, the incumbent additionally provides oversight and administrative direction associated with the Department Chair's various projects. The incumbent must have a thorough understanding of UCDH and UC Davis policies and procedures with the ability to interpret and implement.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Experience providing executive-level analytical support.
  • Experience in preparing briefing documents and Power Point presentations.
  • Demonstrated professionalism and diplomacy as a representative of the Chair.
  • Demonstrated adaptability in responding to dynamic and fast-paced environments.
  • Exceptional multitasking abilities to manage numerous inputs and ensure thorough follow-through on all tasks.
  • Strong interpersonal skills, including effective verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling, to inspire and motivate others. Skilled in conveying complex issues clearly and competently through exceptional communication.
  • Demonstrated strong leadership and teamwork abilities, fostering collaboration to ensure the seamless operation of executive offices.
  • Resourceful problem-solving skills to address novel and unexpected challenges and identify effective resolutions.
  • Adept at maintaining the security of confidential information, exercising sound judgment, tact, and discretion in handling sensitive or confidential matters.
  • Ability to work independently with minimal supervision.
  • Working knowledge of Health System and UCD policies, procedures, rules, and regulations.
  • Proficiency in Health System-specific applications and other computer programs, including Microsoft Word Suite.
  • Strong service orientation with the ability to efficiently manage multiple priorities.

Preferred Qualifications
  • Previous experience presenting to and working with Senior Level Executives.
  • Previous supervisory experience.
  • Previous experience training others.
  • Previous experience working with international programs.
  • Previous experience developing and managing budgets.
  • Project management experience necessary to advance initiatives (both long-term and immediate projects).

Department Overview

The Office of the Chair for the Department of Public Health Sciences has overall responsibility for the leadership, management, and administration of all UC Davis-based educational, research, and public service programs based in the Department of Public Health Sciences. This position is primarily based on the UCDMC campus in Sacramento but may require travel to the Davis Campus for meetings and to meet the support needs of the Chair.

Work Environment
  • UC Davis is a smoke and tobacco free campus effective January 1, 2014.
