Essential Duties

1. Manages and leads research on various federal rules and regulations as well as University policies and procedures to resolve problems and determine the best course of action for the functional area. 2. Recommends course of action to higher authority for the handling and disposition of problems related to the functional area. 3. Counsels faculty, students and staff on issues related to administrative operations of the University function and areas of concern for the function. 4. Manages statistical and analytical information regarding office activities and areas of operational and administrative concern for the function. 5. Leads in long-range planning for the office activities of a specific functional area. 6. Interprets and administers various University and federal policies and regulations. 7. Disseminates accurate and up-to-date information regarding areas of concern. 8. Formulates and establishes policies regarding area's function. 9. Manages a staff of exempt and non-exempt employees. 10. May perform other duties as assigned.

Required Education and Experience

Minimum requirement of Bachelor's Degree in related field and three years of experience or an equivalent combination of education and related experience.

Position Focus:

Under the general direction of the Dean of the Faculty of Arts and Sciences (FAS), reporting to a Senior Associate Dean of the FAS, and with latitude to exercise independent judgment, oversees timelines and processes for ladder faculty reappointments, promotions, and initial appointments to tenure (RPT). Works very closely with divisional deans, department/program chairs, chair's assistants, Tenure and Appointment Committee (TAC) members, and administrative partners in other schools to ensure that 75-100 reviews are completed on time and in accordance with FAS/University policies and federal/state regulations.

Plays integral role in the interface between the FAS Dean's Office (FASDO) and Chairs, Chairs' Assistants, faculty, and other administrators across campus. Serves as principal resource on rules governing ladder faculty RPT cases, including those pertaining to tenure clock extensions, confidentiality, and voting eligibility.

Alongside the Office of Administrative Services (OFAS) and other FASDO staff, leads instructional meetings to provide guidance to faculty administrative support staff throughout central campus regarding faculty appointment procedures.
Serves as key resource for constituents across campus on Tenure and Appointments Committees (TACs) and the use of lnterfolio. Monitors the progress of each TAC case and reviews each dossier within Interfolio for completeness and compliance with FAS and University guidelines, conferring with divisional deans and area TAC chairs on highly complex policy issues and exceptions before requesting changes from department chairs and staff. For cases from the School of Medicine or School of Engineering & Applied Science, or joint appointments across the FAS and professional schools, ensures that this review has taken place before materials are distributed to the committee. Serves as the primary source of technical expertise for Interfolio within the FAS.

May represent Yale at the annual Interfolio Summit and the Elsevier Impact Conference, discussing best practices for faculty information systems with colleagues from other institutions. In coordination with OFAS, works with Yale IT and Interfolio technical support to report bugs and identify feature improvements. Continuously adapts Yale's procedures as Interfolio and other technological systems advance, coordinating with the FAS communications team, OFAS, and the Provost's Office to develop and roll out training materials for department/program staff.

Works closely with the Office of General Counsel in cases where the faculty candidate requests a review of a failed case. Prepares and analyzes reports from Workday and Porter to determine the set of appropriate timeline options for each ladder faculty review, relying on a strong knowledge of faculty appointment data and policies. Clearly communicates these timelines and associated instructions to deans, faculty candidates, department/program chairs, and chair's assistants in semiannual mass announcements and in response to individual queries.

In partnership with the FAS administrative deans, oversees work of the administrative staff who are responsible for supporting the TACs and Joint Boards of Permanent Officers (JBPO). Supervises the FASDO student worker. Plans, directs, and manages the administrative functions of the four FAS TACs, the JBPO, and all FAS ladder faculty actions presented to the Yale Corporation for vote. Maintains a physical on-site presence on days when the TACs meet.
Tracks department chair terms, including drafting appointment letters and ensuring timely Corporation approval of all appointments.

Responsible for TAC membership invitations, TAC chair appointment letters, and other leadership appointments as needed. Works regularly within FASDO's in-house database (Porter) and Workday to ensure relevant appointment and promotion information is accurate and produce reports and summaries on trends.

Preferred Education, Experience and Skills:

Bachelor's degree and seven years of faculty promotions and appointment experience, or an equivalent combination of education and experience. Demonstrated experience working in a higher education setting and faculty.
