Job Title: Payroll Specialist

Reports to: Payroll & Compensation Manager

Location: New York, NY

Job Summary/Purposes:

The Payroll Specialist is responsible for ensuring employees are paid accurately and on time by managing all aspects of biweekly multistate payroll processing for hourly and salaried pay groups, including calculating wages, updating withholding taxes, involuntary deductions, and maintaining accurate payroll records, while adhering to all relevant compliance laws and regulations.

Responsibilities:
  • Responsible for processing new hire onboarding and updating employee transactions utilizing UKG/UltiPro.
  • Audit payroll reports for accuracy and provide revisions to ensure accurate pay.
  • Manage the timekeeping processes using Kronos system; exempt & non-exempt, ensuring that hours are accurately tracked and paid, prepare biweekly missed punches report and communicating with various teams to update the missed punches, perform historical edits to ensure accurate hours worked are processed.
  • Maintain Payroll Systems databases, including but not limited to, Ulti-pro, Core HR & Kronos.
  • Prepare reports via UKG Business Intelligence, as requested in the system by running queries, analyzing data, and creating and running various audits.
  • Assist Sr Payroll Manager in preparing communications and training to support Payroll and Kronos/ TA system.
  • Respond to employee inquiries regarding payroll/Kronos related matters and resolve issues/discrepancies.
  • Maintain/organize employee digital files.
  • Ensure compliance with Employment Authorization Document.
  • Process monthly bonuses; including but not limited to bonuses, commissions, retail sales incentives, etc.
  • Perform monthly audits for between HRIS and payroll system.
  • Collaborate with HR Controlling Team with payroll related inquiries for monthly closings.
  • Ensure regulatory compliance and prepare Annual Census Filing, Annual California EEO Filing, and other statutory compliance as required.
  • Partner with shared service center team regarding biweekly payroll transactions, edit reports and quick calc requests.
  • Prepare/provide payroll related data as requested for audits, agency and legal requests.
  • Completion of verification of employment inquiries.
  • Creating/updating SOPs to ensure payroll processes are current.
  • Ad Hoc projects as needed

Skills & Requirements:
  • 5+ years of payroll, 700+ employee database and compliance in a multi-state company
  • Retail experience and advanced Excel proficiency required (vLookup/Pivot tables)
  • Ability to prioritize and multi-task in a highly complex fast paced work environment
  • Ability to maintain confidentiality and to exercise discretion and professionalism with sensitive information
  • Familiar with multi-state payroll laws and compliance
  • Must be detail oriented, organized and have strong planning abilities.
  • Strong PC skills; Microsoft office skills
  • Kronos, UKG-UltiPro systems experience a plus
  • Familiar with shared services model a plus
  • Regular attendance and punctuality.
  • Ability to professionally interact with all employee levels; corporate and retail management and non-management.
  • Excellent verbal and written communication skills.

The selected candidate will be offered a salary within the range of $80,000 - $85,000 annually, plus bonus eligibility. The salary offered will be dependent upon the candidate's relevant skills and experience.
