Summary
We are pleased to announce a Purchasing & Mobility Supervisor Special Duty opportunity with KCIT! This position is open to current internal KCIT employees as a Special Duty opportunity. Special Duties are only available to career service employees who have passed their initial probation period. This leadership role will Supervise the team supporting King County customers in the acquisition of client-side hardware and software, maintaining in-stock inventory, and forecasting future needs. This position will also manage the Mobile Device program which includes supporting King County's mobile device fleet of 9000+. This will include coordinating with 140+ King County Telecom Coordinators for mobile device ordering, inventory, product offerings and troubleshooting activation or ordering issues.

The work associated with this position will be performed through a combination of onsite work and telecommuting. Employees will have access to shared workspaces at various King County facilities.Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Work Schedule
The normal workweek for this position is Monday through Friday, 8:00 a.m. to 5:00 p.m. Alternative work schedules may be considered. This position is FLSA Exempt and is not eligible for overtime pay

Job Duties
Working Supervisor for staff involved in purchasing, inventory management, and mobile device operations.
- Manage in-stock inventory by performing or overseeing the weekly counts of on premise and partner warehouse inventory, noting and acting on low stock conditions, reviewing current usage patterns, forecasting future needs and reordering quantities based on calculations. Coordinate deliveries from partner warehouses.
- Gather requirements and configuration information for hardware and software orders. Ensure configuration review (when needed) by the team's technical staff and/or the Provisioning supervisor.
- Obtain quotes for hardware and software, communicate costs with customers and obtain budget approval.
- Supervise and assist the primary point of contact for 140+ King County Telecom Coordinators. This will include providing training, support, mobile device ordering, activation escalations and maintaining documentation. This position will also be required to keep King County's inventory and billing portal up to date with the latest product offerings, rates and prices by coordinating with Verizon, T-Mobile, and AT&T.
- Ensure the integrity and accuracy of mobile device inventory management in MDSL portal is maintained. Supervise and assist with the approval of invoices for payment to Verizon, T-Mobile and AT&T. Meet regularly with MDSL, IMMT, Verizon, T-Mobile, and AT&T. Escalate portal issues to MDSL. Maintain wireless carrier portal access for KCIT, MDSL and IMMT. Maintain King County Telecom Coordinators access in MDSL.
- Complete all necessary steps to order and track hardware and software purchases through to receipt.
- Maintain in-stock hardware and software inventory, filling customer orders, tracking in-stock inventory, and reordering stock items.
- Issue chargebacks to internal customers for purchased and in-stock hardware and software, updating rate tables for standard items as needed.
- Maintain and track licensing information for software purchases.
- Manage vendor lists, research vendor sources, select vendors for standard and specialized client hardware and software. Resolve vendor quoting and invoicing issues and expedites orders as needed.
- Design guidelines, structure and processes around both individual and group/enterprise client orders, in-stock inventory, license management and billing.
- Execute complex enterprise-wide software licensing audits for upper management, customers and software manufacturers.
- Forecast future client-side County needs by producing annual reports for budgeting and management.
Experience, Qualifications, Knowledge, Skills
- 5+ years of general office experience with a record of growth and increased responsibility
- 3+ years of purchasing and inventory management experience
- Experience with supervising and mentoring staff
- Excellent organizational skills
- Ability to build effective teams; create strong morale and spirit amongst all team members
- Ability to develop and oversee implementation of work programs with competing priorities, anticipating and adjusting for problems and roadblocks. Manages the work and sets priorities while keeping focus on accomplishing the overall goals of CSS and KCIT
- Ability to comfortably delegate routine and important tasks and decisions where appropriate
- Demonstrated ability to identify process gaps, suggest solutions, and produce tangible outcomes
- Demonstrated ability to meet internal and external customers' expectations
- Demonstrated ability to communicate orally or in writing; including the ability to communicate complex technical information to a non-technical audience

- Outstanding written and verbal communication
- Strongly proficient in the use of Microsoft Office products (Outlook, Excel and Word in particular.) Experience in the use of Office 365
- Expert in the use of Excel. Easily able to connect to multiple data sources from within Excel, display and summarize data in multiple ways
- Bachelor's degree in information technology, business administration, computer science or related field and 5+ years of relevant technical or business work experience, or any combination of relevant experience/education/training that provides the required knowledge, skills and abilities to perform the work.
