ROLE SUMMARY: The Operations Administrator is responsible for the operating success of all physician practices/offices. They ensure the implementation of operating policies, procedures, and principles within the assigned practices/offices. This includes assisting in developing operational plans and associated operating and capital budgets for each practice/office, directing the implementation of plans, and ensuring the financial success of assigned practices/offices. The Operations Administrator is also responsible for supporting development of the strategic and tactical plans to accomplish goals established by Wayzata Children's Clinic. The Operations Administrator supervises Clinic Managers, guides and assists them in managing the operations of their assigned offices, and leads implementation teams responsible for projects and initiatives within their region. Meets with and provides administrative support to the Physicians and Practitioners and functions as the key implementer of the policies, procedures, and principles adopted by Wayzata Children's Clinic.

ESSENTIAL RESPONSIBILITIES

  • Oversees the operations and service delivery of all Wayzata Children's Clinic sites within the assigned region.
  • Ensures that policies, procedures, and principles adopted by the respective Board of Directors or Clinic Provider Groups are carried out.
  • Directly supervises and establishes dear accountabilities for the assigned Clinic Managers and meets and/or communicates frequently with the staff to ensure achievement of goals and accountabilities. Directs the work of assigned Clinic Managers and ensures that implementation plans, operating plans, policies, and procedures are carried out appropriately and effectively.
  • Leads implementation teams which are responsible for projects and initiatives.
  • Working under the direction of the Executive Director, ensures that the performance of physicians and departments within the assigned areas meet expectations in terms of quality, customer service, and financial performance.
  • Meets with and provides administrative support to the Physicians/Practitioners and functions as the key implementer of the policies, procedures, and principles adopted by the Board of Directors.
  • Carries out normal managerial and supervisory duties, e.g., budgeting, resource management, performance management, personnel relations, and Works closely with practice leadership to drive optimal clinical operations, excellent patient satisfaction, budget management and strategic growth initiatives.
  • Work collaboratively to plan and execute ongoing strategic initiatives and planning for all practices.
  • Support the development of the strategic and tactical plan to accomplish goals established by the Board of Directors, its subcommittees, and the Clinic Leadership Team.
  • Collaborate with Executives by serving on Governance Committees as outlined in each Committee's Charter.
  • Work closely with the Executive Director to ensure an operational understanding of the financial state of each practice.
  • Seek out and evaluate new growth opportunities (diversification, expansion, or creation.
  • Work closely with the Executive Director to successfully onboard new practices, grow existing practices, and add service lines.
  • Coordinate and assist the marketing department to ensure practices have market presence, proper branding, and the opportunity to increase patient volume.
  • Monitor practice performance; review monthly Evaluate practice productivity and provide recommendations for improvement.
  • Participate in the preparation, review, and approval of annual budgets.
  • Collaborate with physician recruiting initiatives through interviewing and onboarding.

  • QUALIFICATIONS AND REQUIREMENTS

    Education: Bachelor's degree in relevant field, such as business, health care, marketing, or communications. Master's Degree in health care administration, business administration, public administration, or other pertinent field (preferred but not required).

    Experience:
  • Minimum 5 years' experience in ambulatory medical services management and/or physician practice management. Multi-specialty medical practice experience preferred.
  • Minimum 5 years' experience in management and supervisory leadership.
  • Knowledge of physician practice financial administration and payer reimbursement.
  • Ability to formulate and carry out operational plans for physician practices.
  • Knowledge of legal issues relating to physician-owned practices and employed physicians.
  • Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and Sound conflict management skills.
  • Skill in project planning and management and ability to oversee and coordinate various projects and activities concurrently.
  • Ability to demonstrate superior presentation skills.
  • Ability to demonstrate critical thinking, analytical and process improvement skills.
  • Ability to handle highly confidential data required.
  • Exercises sound judgment in responding to inquiries; understands when to route inquiries to next level.
  • Intermediate computer skills including Microsoft Office; especially Word, Excel, and PowerPoint.
