Team Lead, Lease Administration

The Team Lead of Lease Administration assists in the day-to-day management of the Lease Administration team with approx. 7 direct reports who are responsible for ongoing vendor records, contract terminations, data entry of simple and complex financial adjustments, and various audits and reports. The Team Lead is responsible for New Hire training, ongoing coaching/mentoring for the team members, handling escalations, approving adjustments to contracts, participating in team/cross-functional initiatives and other duties as required. As part of the escalation process it will be their responsibility to address any gaps in process, solve the issue and look for way to prevent a similar issue in the future. They will be responsible for updating processes and policies for the Lease Administration team.

The Team Lead will work collaboratively with their Lease Administration team on the management and maintenance of the work queue volume which includes specialized programs and key relationships. They will be accountable to ensure that team goals are met including turnaround times as well as other quality control KPI's while ensuring all members follow expectations in relation to accuracy of contract changes, timely investigation of finance outages, providing updates when required, consistent with credit, legal and finance requirements. Responsible for exercising adherence to: credit and matrix authorizations, system rules, and corporate policies to ensure the accurate completion of documentation while meeting expected turnaround-timing commitments.

Day to Day

Leadership Accountabilities:

  • Provide input to the Operations plan and objectives and translate these into a year plan for the team
  • Coordinate all operational activities and maintain overview on the workload of the team, anticipating on changes and developments in customer programs which will have an effect on workload.
  • Handle and solve operations incidents and complaints and liaise with internal departments regarding shortcomings in contracts, documentation, procedures and processes.
  • Ensure that all operations procedures and processes are up to date and in line with customer agreements and continuously signal, initiate and implement process and activity improvements on all organizational levels within the operations domain, liaising with relevant in- and external stakeholders.
  • Plan, structure, organise, manage and control the assigned department, processes, staff and business partners, in line with corporate policies and company values.
  • Perform ongoing performance evaluations for direct reports; develop and support members by focusing on job knowledge; ongoing training; technical, interpersonal and communication skills
  • Communicate results, corporate initiatives, programs and policies to the team as required
  • Lead / Participate in team meetings and management meetings as required
  • Participate in department and organizational cross-functional initiatives
  • Ensure Business Continuity Plan (BCP) is updated and complies with company requirements, participate in the periodic BCP testing processes as required
  • Assist in the day-to-day management of the Lease Administration queues
  • Develop and maintain the Lease Administration training materials
  • Monitor work in terms of accuracy
  • Other duties as required

Lease Administration Functions:

  • Respond to calls/emails regarding contracts, and resolve issues as related to the inquiry within SLAs
  • Review contracts and investigate as required to determine scope of more involved issues, in order to take necessary action and prepare required paperwork or make the necessary system adjustment to resolve/correct customer issues within established SLA
  • Approve adjustments within established SLAs and limits

Essentials

  • Post-Secondary education is a requirement.
  • Strong leadership and/or people management skills.
  • Experience a Finance or Operations function with leasing or financing industry experience an asset.
  • Be an active participant in a "hands-on" work environment.
  • Strong interpersonal as well as written and verbal communication skills
  • Proven track record of achieving results in a fast-paced environment.
  • Positive and stable attitude with proven ability to motivate staff.
  • Ability to manage multiple priorities within tight timeframes while maintaining ongoing attention to detail while meeting set deadlines.
  • Ability to embrace and champion change.
  • Capable of driving growth capacity by continuously looking for better ways to improve processes.
  • Excellent problem-solving skills along with logical thinking.
  • Excellent planning & organizational skills.
  • Proficient in MS - Word & Excel and Outlook.

Applicable Pay Range

$65,674 - $98,512

DLL is considering candidates in numerous locations. The pay estimate displayed represents the typical pay range for candidates hired for this position in the desired primary work location. Pay may be adjusted outside the projected range based on geographical differentiation as well as for any other lawful reason. Additional factors that may be used to determine your actual pay include your specific skills, years of relevant experience you possess, and other work-related qualifications. Many candidates may start in the bottom half of the applicable pay range, especially those with less experience or qualification.

This position is subject to the terms of DLL's compensation plans and policies. Further, the position includes all other benefits provided to DLL employees, including healthcare benefits, pension plan, vacation, sick leave, parental leave, possible discretionary bonuses, and all other benefits that are subject to eligibility.
