Position Summary

The EPIC IT Project Architect (Epic Project Architect) has the primary responsibility of Information Technology (IT) project management utilizing the domains of project management including initiating, planning, executing, monitoring/controlling and closing for IT Epic projects. The Epic Project Architect coordinates the full life cycle of IT related work associated with project management processes. The Epic Project Architect manages the project team to implement projects that positively impact and achieve sustainable results that support the healthcare systems' strategic goals. The Epic Project Architect collaborates and communicates directly with all levels of staff and senior leadership both internally and externally to the healthcare system. The Epic Project Architect works independently while providing management and oversight to teams and processes. The Epic Project Architect is responsible for obtaining and maintaining in-depth knowledge of software functionality/integrations/hardware and acquiring/utilizing knowledge of the operational workflows implemented in the organization. The Epic Project Architect will have demonstrated proficiency and references for mentoring, training and orientation of new project engineers and new Epic and IT resources. The Epic Project Architect will have demonstrated proficiency and references for project forecasting, IT governance collaboration and strategic planning.

Minimum Requirements

Education
  • Requires a bachelor's degree or higher education, or four years relevant Epic experience.

Experience
  • 10 years Healthcare experience
  • 8 years IT Project Management experience
  • 8 years PMP experience
  • 8 years of Epic specific experience
  • Must have documented proven success with multiple large Epic implementations (i.e. large acquisitions, large Epic module implementations, conversions, etc.)
  • Must have documented proven success with multiple large Epic integration projects including third party applications
  • Must have documented proven success with multiple IT projects in a variety of IT specialties
  • Must have documented proven success as a mentor to project engineers and other IT resources
  • Must have documented proven success to orient new project engineers and other IT resources on SRHS IT project management

License/Registration/Certifications
  • PMP
  • Epic Certification in a minimum of one application

Preferred Requirements

Preferred Education
  • Master's Degree in Computer Science, Healthcare or related field

  • 15+ years of Healthcare experience
  • 10+ years of IT Project Management
  • 10+ years PMP experience
  • 10+ years of Epic specific experience

Core Job Responsibilities
  • Assistance with management, oversight, escalation of Idea process, project processes and project team
  • Coordinating and scheduling all Ideas (IT project and IT non-project)
  • Lead non-project Diligence calls
  • Research and address inquiries from organizational leaders
  • Advocate for early Idea submission of known forecasted projects
  • Assistance with idea submission for organizational leaders
  • Provide streamlined education and support for the Idea process - for the PE team, IT and organization
  • Oversight and back up to Facility/IT resource coordination
  • Backup support for IT Governance Steering Committee responsibilities
  • Project Demand transition to owning Project Engineer
  • Support Project Management Leadership with strategy planning, monitoring and development

Ad Hoc, may function in Project Engineer II role:
  • Manages project team, stakeholder and leadership communication
  • Effective leadership and coordination of the project team through the project life cycle
  • Promotes collaboration, compromise and teamwork among project teams to ensure efficiency of project work
  • Uses facilitation skills to build trust within project teams
  • Ability to work positively with a wide range of individuals
  • Establish, maintain and manage relationships with the operational owners, sponsors and relevant stakeholders
  • Supports the healthcare system to maintain an environment of approved IT security and technically approved products
  • Coordinates and manages project teams for execution of projects to be delivered on-time, within scope and within budget
  • Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques and resources
  • Strong practical experience in project management gained through managing large and complex projects
  • Manages risks, issues and corrective actions to minimize potential project risks
  • Escalates to functional managers regarding project team resources
  • Combined ownership with project team of escalations to functional and portfolio managers regarding project issues, statuses, resource constraints, etc.
  • Coordinates projects and interdependencies
  • Manages and utilizes resources across projects; works with functional managers to ensure resource availability
  • Knowledge of budgeting and resource allocation procedures
  • Ability to find innovative ways to resolve issues
  • Monitors project progress to analyze the successful completion of short and long-term goals
  • Monitors stakeholder satisfaction
  • Sets deadlines based on project team's input
  • Working knowledge and handling of project management methodology and techniques; utilizes domains of project management: Initiating, Planning, Executing, Monitoring/Controlling and Closing
  • Works with the project requestor to identify the project goals and scope to create a project charter that outlines high-level tasks, timelines and resources required.
  • Creates and maintains comprehensive project documentation
  • Evaluates project performance; measures performance using appropriate project management tools and techniques
  • Attends conferences and training as required to maintain proficiency in project management, Epic certifications, etc.
  • Perform other related duties as assigned
  • Lead planning and execution of go-live and post-live support
  • Mentor, train and orient Epic resources and IT resources on project management
  • Mentor, train and orient new project engineers on role responsibilities, SRHS processes, project management, etc.
  • Proficiency in project forecasting for the enterprise
  • Proficiency in leading IT Steering Committee
  • Participates in IT Governance collaboration
  • Proficiency in project reporting at an enterprise level
  • Proficiency and independent working administrative knowledge of Epic maintenance workflows
