Description and Requirements
The Senior Administrative Partner will support high level executives at Lenovo. The candidate will be responsible for keeping the organization running smoothly and effectively in a complex global environment.
The successful candidate for this role will be able to manage complex, multi-time zone travel and meeting scheduling as well as coordinating off site activities. To excel in this role, the candidate will need to be able to manage confidential information, have excellent attention to detail and work with a sense of urgency. This individual will be responsible for all administrative needs including but not limited to managing calendar, expense reporting, extensive international travel, document approval processing and additional projects which will be assigned.
Responsibilities
Manage complex calendaring across multiple geographies and time zones
Manage Executive email in Outlook: Flag, Action, Follow up, Respond
Ensure Executive is on track to meet commitments
Coordinate meetings and events with senior level internal and external clients
Maintain organization cadence (BMS)
Drive Executive Staff Meetings: Deck consolidation, Agenda, Actions, Follow up
Execute and drive organization-specific projects with high attention to detail: Lenovo Executive Committee meetings, Sr. Leadership meetings, All Hands Calls, Town Halls, Board of Director Calls, and additional events as assigned
Arrange complex, multi-leg international and domestic travel, ensuring compliance on policy and procedures (i.e., spend limits, city caps)
Proactively track of all flight and ground transportation, ensuring smooth travel
Maintain Travel & Expense budget reports
Review and Approve Expense Reports on behalf of Executive
Process and Reconcile Expense Reports against Statements
Generate and format decks for presentations and calls
Learn and make sound decisions based upon understanding of organizational structure, policies and business needs
Maintain confidentiality and demonstrate tact regarding sensitive and proprietary information
Assists extended team members with administrative duties as needed
Provide mentorship to Executive Administrative Partners (i.e., peer training, teambuilding)
Basic Qualifications
Associate's degree AND 5 years of experience supporting a senior-level business leader OR 6 years of progressive work experience supporting a senior-level business leader (VP and above) with no degree
Proficiency with Outlook, MS Office 365 Suite, MS Teams, Zoom
Preferred Qualifications
5+ years of Experience supporting Director and above-level business leaders in a global environment, coordinating across multiple geographies
7+ years of Experience supporting Director and above-level business leaders as an Administrative Partner
5+ years of Experience calendaring across multiple geographies with Outlook and MS Office 365 Suite
Ability to work independently in a fast-paced environment with professionalism and tact
Excellent written and verbal communication and interpersonal skills
Strong cross-functional collaboration skills
Positive, can-do attitude willing to help team and peers
Strong attention to detail demonstrating accuracy and thoroughness of work
Time-oriented prioritization ability
Ability to be flexible and accommodate global schedules and plans
Ability to swivel and find solutions quickly
The base salary budgeted range for this position is $77-103k. Individuals may also be considered for bonus and/or commission. This role is remote with working hours in Pacific Time.
