As a Senior Executive Administrative Assistant within our Commercial & Commercial Banking team, you will manage an extensive and complex calendar for a Senior Executive in a fast-paced, dynamic environment. You will act as the gatekeeper of all contact with the public, clients, and staff coming through the executive's office. You will have the opportunity to work closely with the Management Team on maintaining key documents and planning large events. This role provides an excellent opportunity to develop your organizational and communication skills while contributing to our local office requirements.

Job Responsibilities:
- Manage extensive and complex calendar for Senior Executive in a fast paced, dynamic environment and handle regular activities without prompting, and advise in advance of issues or delays
- Act as the gatekeeper of all contact with the public, clients and staff coming through the executive's office
- Work closely with Management Team on maintaining key documents including organizational charts and project materials. Able to take succinct minutes and replay key takeaway and themes from senior meetings
- Produce high quality emails and messages to individuals at all levels of the organization, coordinate and organize senior meetings, draft presentations including agenda setting, material preparation and distribution, coordination of guest speakers, and logistics.
- Arrange and maintain extensive travel plans and itineraries for frequent international and domestic travel
- Plan and lead large events, Town Halls, maintain critical follow ups and draft simple communications
- Contribute to site support for local office requirements including assistance with new hire integration, facilities maintenance, supplies, floor access, presence at local events, greeting guests and escorting them throughout the location, food orders/set up and takedown of conference rooms, ensuring superior client service at all times
Required qualifications, capabilities, and skills:
- At least five years of administrative experience
- Advanced ability to organize
- Discretion and good judgment in confidential situations, and proven experience in executive-level communication or stakeholder management
- Strong interpersonal, written, and oral communication skills
- Strong proficiency in Microsoft Office
- Excellent telephone etiquette and ability to manage competing priorities i.e., calendar management
Preferred qualifications, capabilities, and skills:
- Experience supporting at the Managing Director level (or equivalent) or above
- College degree is a plus
