Job Summary
The Director of Events is a part of the MarComm leadership team at Tampa General Hospital, reporting directly to the SVP of MarComm and Business Development. This candidate must be a self-starter, strategic and work independently. Must have experience managing large events and large teams. At Tampa General Hospital, events are elevated to feature the organization within the hospital and community. The goal and objective of events include community awareness, consumer awareness, generating patients and families to trust TGH in times of health and wellness or if they need to choose a hospital. TGH brand must be positively represented through any events hosted by Tampa General.
This position is responsible for leading planning and overseeing all event logistics for TGH internal and external events. The Director of Events must have "big picture" thinking and strategy, with extreme attention to detail. Leads and manages events from start to finish to post-out reports. With all events there must be the creation of a positive experience for guests, board members, media, community leaders and team members who attend these events.
This position works with key stakeholders, internal departments to ensure collaboration and success of events. Coordinates and organizes on and off-site events. This includes performing a broad range of tasks including venue search, contract negotiation, event coordination, and administrative tasks. Works with various departments across TGH to accomplish event needs such as marketing, purchasing, print materials, audio and visual. Identifiers and work with talent, to fulfill rider requirements including travel, lodging and facility set up. Day of event coordination including audio, visual, run of show, movement of talent, act as liaison to event venue, movement of audience and flow of day. Creates and sends out Requests for Proposal (RFP) to event venues. Identifies locations for future events and negotiates adjusted pricing. The Director of Events will work directly with the Contracts Department on agreements and contracts, following process to final signing and enforcement. While monitoring actual and potential expenses forecasting any budget variance. Provides room scheduling support to all hospital departments, educational affiliations (including our partners at USF) and hospital affiliated external clients. Exercises independent judgement; however, will work under general supervision.
The position builds internal and external relationships and helps identify opportunities to promote the brand through community events, press conferences, internal events, and external events. The position leads the development and execution of annual events for TGH that support strategic service line development and hospital goals.
The Director of Events produces ROI reports to showcase event attendance, audience goals and stats and patient referrals. Serves as a brand ambassador within the organization and outside the organization. The Director of Events works very closely with the MarComm and Business Development Leadership team including the Senior Director of MarComm, Assistant Director of Communications/Partnerships and the Assistant Director of Marketing. This position also may supervise an Events Manager, Coordinators, Interns.
This position works collaboratively with executive leadership, marketing, business development, physicians, nurses, volunteers, donors, to ensure total success of events. Conducts special projects, as assigned. Responsible for performing job duties in accordance with the vision and values of TGH.
Qualifications
Education and Experience Required
Minimum of 4-year college degree in related field or 10 years plus of progressive experience in event planning.
At least 5 + years' experience in a leadership or management role. Must have experience managing a team for results.
Medical or hospital/community related events experience is highly desirable.
Knowledge & Skills Preferred
Ability to build internal and external networks to facilitate event expectations while building brand awareness.
Strong verbal and written communications, organization skills a must and project management skills.
Ability to communicate effectively with all types of audiences.
Computer skills are required including working knowledge of Microsoft office, Word, Powerpoint, and Excel as well as media tracking software
Must be detail-oriented and be able to remain calm under pressure and multi-task in a fast-paced work environment. Ability to maintain flexibility is important.
Must be a team player, and able to collaborate and influence, and build consensus.
Must always conduct themselves in a professional manner.
Flexible and long hours sometimes required.
Ability to stand during entire shift.
Ability to communicate clearly and make sound judgements quickly.
Able to work effectively in stressful, high pressure situations.
Ability to effectively handle challenges, including anticipating, preventing, and identifying and solving problems, as necessary.
