Key Responsibilities:
Lease Administration:
- Manage a portfolio of approximately 200 leases
- Oversee lease abstraction processes
- Conduct lease audits to verify data accuracy
- Manage CoStar system, including data input, reporting, and troubleshooting
- Oversee payment programs for executive suites and monthly pay cycles
- Lead monthly leadership update meetings
Lease Data and Program Management:
- Review and validate reporting, data accuracy, and rent variance
- Analyze leases by category spend
- Recommend changes based on data insights
- Manage the export of AP files to clients B2B/Oracle
- Oversee Certificate of Insurance (COI) management
Transaction Management:
- Coordinate approvals with business departments and Strategic Business Partners
- Understand and communicate business requirements for new space, renewals, and terminations
- Manage lease approvals from business leaders
- Liaise with client's Legal for lease document review and assistance
- Oversee the execution of agreements, including new leases, renewals, subleases, and licenses
- Manage tenant estoppels and SNDAs
Stakeholder Management and Communication:
- Lead weekly meetings with the Transaction Management team
- Conduct monthly Critical Dates Meetings to review upcoming transactions and projections
- Coordinate with Strategic Business Partners on business intelligence for future activities
- Manage CRM relationships with the client's business units and landlords/vendors
Financial Analysis and Reporting:
- Oversee financial analysis for projects, including market information analysis and RFPs
- Manage approval processes, including cost-benefit analysis and aesthetic analysis
- Generate ad-hoc reports from CoStar and other sources as requested by various stakeholders
- Maintain historical location square footage data
- Support internal audit processes
Forecasting and Budgeting:
- Oversee lease forecasting processes, including locations, other leases, and Treasury forecasts
- Manage Data Center lease payments and related processes
- Maintain and update the Bank ATM renewals tracker
Qualifications:
- Bachelor's degree in Real Estate, Business Administration, or related field is preferred.
- 5+ years of experience in commercial real estate, lease administration, and transaction management
- Strong knowledge of lease administration software (preferably CoStar) and financial analysis tools
- Excellent analytical and problem-solving skills
- Outstanding communication and interpersonal abilities
- Proven ability to manage multiple high-priority projects simultaneously
- Strong attention to detail and commitment to data accuracy
- Experience with financial forecasting and budgeting in a real estate context
