Manager, Portfolio Services & Administration

As a Manager of Portfolio Services and Administration, you can expect to oversee 2 teams: Lease Administration and Accounts Receivable. Working collaboratively with your direct reports of 2 Team Leads and 22-25 employees on: ongoing vendor maintenance, contract termination preparation and data entry, simple and complex financial adjustments, all payment application (various methods) and various audits and reports. The Manager will assist and support the other department Manager and their teams while also participating and leading various projects. You will be ensuring all members follow expectations in relation to accuracy of contract changes, timely investigation of finance outages, providing updates when required, consistent with credit, legal and finance requirements. Responsible for exercising adherence to: credit and matrix authorizations, system rules, and corporate policies to ensure the accurate completion of documentation while meeting customer expected turnaround-timing commitments.

Day to Day

  • Lead, mentor, and motivate a team of approx. 22-25 employees (2 Team Leads and their direct reports), providing guidance, support, and feedback to foster professional growth and development.
  • Develop and implement strategic plans, goals, and objectives for the department, aligning with the company's overall mission and vision.
  • Monitor team performance and productivity, identifying areas for improvement and implementing effective solutions to optimize efficiency and effectiveness.
  • Coordinate and prioritize projects, tasks, and deadlines, ensuring that deliverables are completed on time and within budget.
  • Foster a positive culture of collaboration, innovation, empowerment and excellence within the team, promoting open communication, teamwork, and knowledge sharing.
  • Serve as a liaison between the department and other internal stakeholders, such as senior management, cross-functional teams, and external partners.
  • Monitor industry trends, market dynamics, and competitive landscape, staying informed about relevant developments and leveraging insights to drive continuous improvement.
  • Ensure compliance with company policies, procedures, and regulatory requirements, maintaining a high standard of ethical conduct and professionalism at all times.
  • Handle performance management activities, including goal setting, performance reviews, disciplinary actions, and recognition programs, in accordance with company guidelines.
  • Provide any necessary training as required.
  • Chair monthly Team meetings and Quarterly Department Meetings, attending management meetings as required.
  • Communicate results, corporate initiatives, programs and policies to the team as required.
  • Create a positive "Open Door" relationship with team members to ensure they are comfortable presenting any issues/concerns.
  • Provide timely feedback on issues that have been addressed.
  • Accountable for the team achieving daily, weekly, and monthly KPIs and SLAs.
  • Ensure accurate and timely updates and paperwork request processing and escalations within 24hrs of all necessary data in DLL's back-end system.
  • Conduct any necessary or assigned daily, weekly, monthly and system audits, including the completion of findings.
  • Back-up to other department manager and their team as needed.
  • As part of the Portfolio Services & Administration department, the Manager may be called upon from time to time to complete other responsibilities to ensure effective workload for the entire team.
  • Participate in department recruitment needs and cross-functional initiatives.
  • Participate and lead in projects as assigned.

Essentials

  • Post-Secondary education a requirement.
  • Strong leadership and/or people management skills.
  • Be an active participant in a "hands-on" work environment.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proven track record of achieving results in a fast-paced environment.
  • Positive and stable attitude with proven ability to motivate staff.
  • Experience a Finance or Operations function with leasing or financing industry experience an asset.
  • Ability to manage multiple priorities within tight timeframes while maintaining ongoing attention to detail while meeting set deadlines.
  • Must be self-directed, decisive and goal oriented.
  • Comfortable working in an empowered work environment with established goals/expected results and limited step-by-step direction.
  • Ability to embrace and champion change.
  • Capable of driving growth capacity by continuously looking for better ways to improve processes.
  • Excellent problem-solving skills along with logical thinking.
  • Excellent planning & organizational skills.
  • Proficient in MS - Word & Excel and Outlook.
  • Work in a hybrid environment, with a minimum of 2 days in office per week expected

Applicable Pay Range

$83,889 - $125,833

DLL is considering candidates in numerous locations. The pay estimate displayed represents the typical pay range for candidates hired for this position in the desired primary work location. Pay may be adjusted outside the projected range based on geographical differentiation as well as for any other lawful reason. Additional factors that may be used to determine your actual pay include your specific skills, years of relevant experience you possess, and other work-related qualifications. Many candidates may start in the bottom half of the applicable pay range, especially those with less experience or qualification.

This position is subject to the terms of DLL's compensation plans and policies. Further, the position includes all other benefits provided to DLL employees, including healthcare benefits, pension plan, vacation, sick leave, parental leave, possible discretionary bonuses, and all other benefits that are subject to eligibility.
