Technical Writer & Special Projects Administrator

Hourly Wage: $41.81/Regular/Full-Time

The Technical Writer & Special Projects Administrator will be responsible for well-organized technical documentation by creating paper-based and digital operating instructions, how-to manuals, guides, assembly of instructions, process documentation, and "frequently asked questions" pages to help technical support staff and other users. This role will also involve working on special projects that require cross-functional collaboration, attention to detail, and problem-solving abilities. Working closely with Finance management to ensure technical content is up-to-date and effectively communicated. This role will also involve contributing to special projects requiring detailed research, cross-functional collaboration, strategic problem-solving, and the ability to understand and discuss complex information with people of diverse occupational backgrounds. Develop, gather, and disseminate technical information through Yakama Nation's communications channels. Oversee the process and production of all materials related to the grant application process from identifying and qualifying prospects, to writing proposals and reports, to collecting data, budgets, and all relevant documents from a variety of departments to submission. Additionally, s/he supports the Finance office by supplying content for annual appeal letters, email appeals, the annual report, and special projects.

Examples of Work Performed:

Develop, write, and edit user manuals, product guides, release notes, FAQs, and standard operating procedures (SOPs).

Work with technical teams to gather information and ensure accuracy and completeness of the documentation.

Translate complex technical concepts into clear and accessible content for various audiences, including internal teams and end users. Maintain consistent tone, style, and format across all documentation and materials.

Track and update existing documents based on changes and feedback.

Lead or support cross-functional projects as needed, ensuring clear communication and timely delivery of project milestones.

Identify opportunities for process streamlining or improvements related to communication, reporting, and compliance and document best practices, workflows, and guidelines.

Provide regular updates to internal stakeholders on project progress, reports, project timelines, and resolve any issues that may arise.

Conduct research and analysis for special projects, providing insights and actionable recommendations to management.

Research and write grant proposals, including narratives, budgets, and supporting documentation, ensuring compliance with the funders' guidelines and expectations.

Write and prepare grant reports, progress updates, and evaluations for funders, ensuring they meet all requirements and deadlines.

Review funder guidelines to ensure that grant proposals are tailored to specific requirements and regulations, including content, format, and budgetary specifications.

Work closely with program managers, finance teams, and leadership to gather necessary information, ensuring that proposals reflect the organization's strategic objectives and project goals.

Research potential grant opportunities and identify suitable funding sources to support organizational needs and growth.

Lead or support special projects related to grants and other organizational needs, ensuring project goals are met on time and within scope.

Partner with internal teams (e.g., programs, finance, communications) to gather insights and information necessary for special projects or related tasks. Work with all departments to collect and synthesize data.

Incorporate animation, graphs, illustrations, or photographs to increase users' understanding of the material.

Standardize content across platforms and media. Select appropriate medium, such as manuals or videos, for message or audience. Collect user feedback to update and improve content.

Oversee grant workflow processes related to data entry to ensure adequate internal controls and that all

grants reporting of data is accurate.

Provide links between programs, finance, and other staff so that all activities related to grant data

collection and reporting are smoothly implemented.

Support the team with additional tasks as needed, such as preparing presentations, internal reports, or other

project-related documentation.

Assist with various other tasks as needed, including internal initiatives, team collaborations, and administrative support.

May be assigned new projects and tasks not included in the description.

Knowledge, Skills and Abilities:

Ability to understand and explain technical concepts clearly.

Ability to work with cross-functional teams and external stakeholders.

Exceptional written and verbal communication skills, orally and in writing, with all levels of personnel including vendors, administrators, employees, supervisors, and elected officials with a strong ability to convey complex ideas clearly and persuasively.

Knowledge of grant proposal writing, budgeting, and reporting standards.

Strong research and analytical skills, with the ability to identify and evaluate potential funding opportunities. High attention to detail and a commitment to quality. Strong problem-solving and critical-thinking abilities.

Ability to work evenings and weekends as required.

Knowledge of the Personnel Policy Manual, Supervisors Manual, Compensation Manual, Master Class Title/Code/Pay Range Listing, Finance Manual, Drug and Alcohol Procedures Manual, and of YN Internal Controls.

Knowledge of process management principles and practices and ability to work closely with all staff to ensure a positive work environment.

Knowledge of YN governmental organization and tribal administrative policies and procedures and accounting theories and principles.

Knowledge of computerized accounting tracking systems-including MS D365 and integrity issues.

Knowledge and proficiency in computer use, specifically Microsoft Office products including Word,

Excel, Power Point, and Access familiarity with project management and grant management tools. Keep up to date with ongoing changes of computer software and related databases.

Proactive, self-motivated, and ability to remain adaptable to changes in assignments or situations, priorities and handle frequent interruptions.

Ability to work independently and collaboratively within a team environment with minimal supervision.

Highly organized, with the ability to manage multiple complex projects and tasks simultaneously with competing deadlines in a fast-paced work environment.

Ability to demonstrate a high degree of personal integrity and be able to maintain strict confidentiality.

Minimum Requirements:

Bachelor's Degree in Business Administration, English, Communications, Technical Writing or a related field with at least 2-4 years in technical writing or a related role, preferably within research or tribal-government setting. Or a combination of six years education, training, and equivalent work experience.

Experience working on special projects or cross-functional teams is a plus.

All employees are subject to random drug tests and to test the use of alcohol or drugs in the workplace is suspected.

Must present a highly professional image and outstanding customer service to internal and external constituents.

Required to pass pre-employment background check.

Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.

Required to pass a pre-employment drug test.

Preferred Requirements:

This position may require occasional travel depending on the needs of special projects.

Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.
