Job Description
The Pharmacy Operations Manager is responsible for supporting the Director of Pharmacy in managing the pharmacy operations and will be responsible for directly managing all staff pharmacists and pharmacy technicians. The Pharmacy Operations Manager will implement and enforce policies and procedures, supervise, onboard and train staff, and ensure regulatory compliance and quality assurance. He/she will coordinate and direct the day-to-day services, functions, and activities of the pharmacy department in accordance with established policies, national standards and state and federal laws. He/she will have advanced knowledge, experience, and responsibilities in the areas of inpatient pharmacy operations, staff management, pharmacy related technology and ensuring medication safety across the continuum of care. He/she will work across the pharmacy service lines to best optimize pharmacy operations.
Responsibilities
1. Assumes responsibilities of the Director of Pharmacy in his/her absence
2. Manages the pharmacist and pharmacy technician staff by conducting semi-annual performance reviews to ensure personal, departmental, and organizational goals are being met. All staff pharmacists and pharmacy technicians shall report directly to the Pharmacy Operations Manager.
3. Assists the Director of Pharmacy in determining staffing needs and identifying opportunities to redesign operational systems to maximize labor and operational efficiency.
4. Ensures pharmacy purchasing, receiving, inventory management and overall supply chain management systems are operating efficiently with fiscal responsibility
5. Directly supervises the daily work activities of the pharmacy staff and performs performance metrics to gauge staff accountability and productivity to enhance employee development.
6. Actively participates in continuous quality improvement initiatives and projects for the pharmacy department and any system-wide or hospital-wide quality initiatives.
7. Ensures pharmacy operation is compliant with patient safety practices that may be mandated by any organization or regulatory agencies.
8. Ensures compliance with all regulatory requirements such as JC, DPH, DCP, DEA, USP797, USP800 and USP795 and their related monitoring and training of staff as required.
9. Develops, monitors, and audits duties and responsibilities for all pharmacy personnel; evaluates and counsels' employees in their performance in a professional and timely manner.
10. Trains, orients, and onboards new staff .
11. Assigns staffing schedules, approves PTO, and helps manage call outs.
12. Develops and evaluates standards of performance. Monitors staff performance and recognizes high-performers and holds poor performers accountable to department and institutional standards.
13. Encourages team growth and development.
14. Assists in operationalizing the clinical activities of the pharmacy department.
15. Assesses and standardizes medication dispensing practices and pharmacy workflows across all hospital areas.
16. Develops and actively participates in training and mentorship programs for pharmacists, pharmacy students, residents, technicians, nurses, and physicians.
17. Participates in reviewing medication errors to determine opportunities for quality and operational changes.
18. Ensures all operational policies and procedures for the pharmacy department are up to date.
Performs other related duties as assigned or requested to maintain a high level of service.
Completes required continuous training and education, including department specific requirements.
Demonstrates professional work behavior by following Service Standards and Success factors. Complies with departmental
organizational policies and procedures and adheres to external agency requirements.
19. Assists in monitoring pharmacy internal and external workload and productivity monitoring systems.
20. Conducts meetings with pharmacy technicians and pharmacists to create an environment of enhanced collaboration and teamwork.
21. Oversees regulatory requirements of scheduled/controlled substances as required by federal and state law.
22. Participates in organizational committees when appropriate.
23. Participates in regular rounding as pharmacy representative.
24. Collaborates with Pharmacy Informatics Specialist on operational issues.
25. Coordinates with Stericycle or other waste management program annually to submit hospital formulary.
Qualifications
BS. Pharm, Doctor of Pharmacy degree preferred.
Licensed pharmacist in the state of Connecticut
Five to eight years of hospital pharmacy experience
Minimum of 2 years experience in a managerial or supervisory role.
