Description:

The Department Administrator for the Department of Medicine at Loyola University Medical Center, reporting to the Regional Director of Provider Services is responsible for supporting the physician and advanced practice provider management functions for their assigned department(s) and will serve as the chief administrator for their assigned chairperson(s).

Position responsibilities:

Clinical Provider Administration (60%):
  • Directs all provider (physician and APP) professional affairs for the Department, including faculty appointments, promotion and tenure, on-boarding, off-boarding, performance evaluation administration, time off for PTO and CME, and expenses for professional development.
  • Management of provider policies and procedures, vacation and other relevant records.
  • Oversee medical staff credentialing/privileging, medical licensure applications, and Focused Professional Practice Evaluations (FPPE) / Ongoing Professional Practice Evaluations (OPPE) required for all physicians and advanced practice providers (APPs).
  • Manages physician and APP related functions within various provider management systems including, but not limited to Workday, Sympler, Healthstream, Faculty Information System (FIS), LUC faculty management systems, and other Loyola Medicine/Trinity physician/APP management systems.
  • Accountable for ensuring credentialing of physicians and APPs at LUHS and affiliate agencies including on-boarding, off-boarding, and maintenance of credentialing (FPPE/OPPE/other certification requirements, collaborative agreements).
  • Assists with the recruitment process for clinical faculty.
  • Responsible for internal and external contract review and adherence as assigned (e.g., provider peer review engagement services, regional intercompany agreements).
  • Fosters a collaborative work environment and serve as a business resource for faculty as it relates to compensation and benefits.
  • Manage moonlighting schedules (e.g., residents, fellows, physicians) maintain provider call and coverage schedules.


Faculty Affairs / Academic Administration (10%):
  • Manages the appointment, promotion, and tenure process for faculty in the Department including preparation of application packets for CART and LUC review.
  • Handle affiliate faculty processes (e.g., research faculty and staff, VA-SSOM affiliates)


Non-Clinical Support Staff Management (10%):
  • Manage the human resources activities within the Department / Division including those related to recruiting, hiring, orienting, training, disciplining, terminating, performance evaluation, goal-setting, employee relations and staff payroll. Comply with all applicable policies and procedures.
  • Supervise and oversee the workflow of the non-clinical administrative staff, including UKG sign off. Communicate with Regional Director of Provider Services regarding HR issues as they arise. Has input into performance evaluations and merit increases for the staff.


Meetings, Events and Communication (10%):
  • Management of academic Department / Division communications, including announcements, newsletters and websites.
  • Lead planning efforts, including development of agenda and meeting materials, and participates in monthly department meetings, faculty meetings, Leadership Development Meetings, retreats, Grand Rounds, CME, etc. as requested by assigned chairperson(s).


Budget, inventories, & EQUIPMENT (5%):
  • Assists assigned chairperson(s) in submitting expense requests for miscellaneous department accounts for both Loyola Medicine (i.e., department operational accounts, Quality accounts, LUPF funds) and Loyola University Chicago in adherence with policies and procedures from Loyola Medicine, Trinity Health, and Loyola University Chicago. Reviews and processes travel and expense reports, orders department office supplies, processes invoices and other department transactions.
  • Ensures department expenses are charged appropriately and accurately. Determines if expenses are within policy and reviews questionable items, monitor guidelines.
  • Plans and oversees academic departmental and/or divisional space needs and addresses facilities issues and opportunities.


Other (5%):
  • Participates in regular team meetings with Regional Director of Provider Services to ensure that all procedures and processes are managed consistently and effectively. Adheres to Loyola Medicine and Trinity system-wide standards for all procedures and processes.
  • Adapts with agility to changing academic, healthcare, and organizational landscape.
  • Supports Departments with special projects.


Requirements:
  • Bachelor's degree required, Master's degree preferred.
  • 3-5 years of previous job-related experience. 6-10 years preferred.
  • Management experience: 3-5 years of experience.


Pay range: $46.53 hr. - $76.78 hr.

Actual compensation will fall within the range but may vary based on factors such as experience, qualifications, education, location, licensure, certification requirements, and comparisons to colleagues in similar roles.
