Purpose:

The Medical Affairs Operations Lead is responsible for the end-to-end process & project management across Medical Affairs Departments. The operations lead partners with internal Medical Affairs Stakeholders, to develop and coordinate key multi-channel tactical solutions that are aligned with the Therapeutic Areas' strategic imperatives, this encompasses, but is not limited to, all operational activities within Medical Affairs. The Operations Lead is recognized as the subject matter expert in all aspects of vendor management.

The Medical Affairs Operations Lead builds and sustains organizational capabilities to ensure activities are aligned with laws, regulations, policy, and Corporate Compliance objectives. They follow project management principles to maintain key milestones in achieving operational excellence across various Medical Affairs activities, facilitating discussions that align medical affairs objectives with stakeholder insights.

This role emphasizes overall efficiency generation across all medical affairs activities. The Medical Affairs Operations Lead collaborates with internal and external partners, manages the contractual arrangements, compliance approvals as well as oversees the end-to-end PO process with vendors, including support with budget reviews. This position is designed to identify commonalities or areas of opportunity to capitalize on process efficiencies and drive improvements in overall operational workflows within the medical affairs function.

You will be responsible for:

Project Leadership
  • Lead the developmental process of the Medical Education plan, ongoing execution, and support budget oversight of initiatives, including but not limited to: speaker tours, advisory boards, symposia, conferences, and other tactics as required by the Medical Integration Team (MITs)
  • Align with the NMEM on the objectives and resources required to develop and implement the national Medical Education plans
  • Strategic oversight of end-to-end Other Learning Activity (OLA) development process
  • Strategically apply the business plan to develop educational content for programs tailored to address the specific needs of the target audience.
  • Develop relationships with relevant KOLs to support the development of educational assets or activities
  • Program Faculty and Steering Committee management
  • Vendor Management, including selection, briefing, and oversight
  • Submit and manage related Medical Affairs documents into the internal approval systems
  • Complete and submit compliance review forms in adherence with national and international guidelines
  • Organize and lead Train-the-Trainer events, when applicable
  • Partner closely with the Health Care Engagement team & HCC and other internal stakeholders
  • Utilize root cause analysis to guide process improvement
  • Oversight of end-to-end Ad Board development process
  • Develop relationships with relevant internal and external stakeholders to support the development of advisory board activities

Operational Leadership
  • Administration of POA process updates to event lead
  • Establish and Lead Project Briefs to agencies
  • Review agency project and budget proposals
  • Own selection of vendor based on budgetary and project needs
  • Request and lead POs and vendor SOWs
  • Support budget owner with execution of budget, review of events, etc.
  • Lead preferred vendors (new/renewal), approval, MSA/HCC process and oversight
  • Manage contracts for Steering Committee, Program Faculty, and Speakers/Moderators
  • Manage end-to-end advisory board coordination
  • Supporting best practices and efficiency building across Medical Affairs
  • Enable excellence across Medical Affairs through leadership in process improvement and change management by leveraging principles such as root cause analysis.
  • strategically assess and implement a plan from an operational, compliance, internal policy perspective
  • SME in various internal and external policy documents

Customer Advocate/Strategic Input
  • Managing KOL relationships across Medical Affairs to ensure the best J&J Experience
  • Understand the needs of the medical education functional area and underlying business processes, needs, and opportunities via collaboration with NMEM/RMEM
  • Understand the needs of the Medical Science functional area and underlying business processes, needs and opportunities via collaboration with the scientific advisors and medical directors.

Communicator and Trend Identification
  • Strategic input and insight into the development of the Medical Affairs strategy.
  • Cross-functional coordination and collaboration
  • Analyze industry trends for practical insights to incorporate into medical affairs solutions
  • Expertise in Adult Learning
  • Communicate trends/findings related to the development of medical educational channels
  • Operational efficiencies, and finding efficiencies between internal and external processes, taking current process and documenting changes as well as strive to achieve operational efficiencies across Medical Affairs


Qualifications / Requirements:
  • A minimum of a university degree is required, preferably in sciences, medical or related health sciences subject area.
  • A minimum of 5 years' experience in the pharmaceutical industry, or medical education/educational field is required.
  • Strong communication and collaboration skills with ability to showcase leadership of cross-functional project team members is required.
  • Understanding of agile ways of working and project management principles is required.
  • In-depth knowledge of IMC Code of Ethical Practices and other Healthcare Compliance and Pharmacovigilance policies, standards, and procedures is required.
  • Experience in continuous improvement and or quality improvement processes is required.
  • Ability to evaluate metrics and results to optimize efficiencies and share best in class practices is required.
  • Ability to prioritize and organize workflow activities to meet tight deadlines is required.
  • Superior level of attention to detail and excellent problem solving abilities is required.
  • Ability to work in a team is required.
  • Ability to make decisions specific to business needs is required.
  • Demonstrated abilities in the following areas: managing complexity, innovative thinking, verbal and written communications and effective time and budget management is preferred.
  • Demonstrated experience on organizational change and adoption is preferred.
  • Proficiency in metrics and reporting, creating dashboards and scorecards, and communicating complex information at the right tone and breadth is preferred.
  • Confirmed examples of leadership, high learning agility, critical thinking and intellectual curiosity in the development of marketing and/or educational projects is preferred.
  • Knowledge of the medical education area is preferred.
  • Experience with medical education program development and application of adult learning theory is preferred.
  • Completion of a course in Continuing Medical Education or CPD (i.e., CCPE) is preferred.
  • Proficiency in French is an asset.
