Role Overview: Associate Director, Business Operations

We're looking for an Associate Director, Business Operations to lead key strategic initiatives and operational processes across MAKAIO CREATIVE GROUP's beauty business. In this role, you'll be instrumental in driving internal alignment, overseeing change management, and implementing systems that power team performance and project excellence.

You'll be responsible for building structure, optimizing workflows, tracking progress, and ensuring accountability at every level. The right candidate is a systems thinker who thrives in a fast-paced, collaborative environment and brings a solutions-first mindset to every challenge.

What You Bring:
  • 5+ years of experience in operations, business strategy, or project management (agency experience preferred)
  • PMP or CSM certification is a plus
  • Background in media, marketing, or creative operations is an advantage
  • Bachelor's degree in business, communications, or a related field
  • Demonstrated ability to manage complex projects across multidisciplinary teams
  • Familiarity with project management tools, collaboration platforms, and Microsoft 365
  • Excellent verbal, written, and interpersonal communication skills
  • Highly detail-oriented with strong time management and prioritization abilities
  • Resourceful, proactive, and comfortable operating in a fast-moving environment


Compensation & Benefits:

Base Salary Range: $120,000 - $125,000 USD
Final compensation is determined based on experience, skills, and geographic location.

Requirements

Key Responsibilities:
  • Lead planning and execution of strategic business operations and internal initiatives
  • Create and manage project timelines, trackers, communication plans, and stakeholder updates
  • Identify opportunities to refine workflows, implement new systems, and improve team efficiency
  • Build and maintain onboarding materials, org charts, access lists, and collaboration tools
  • Facilitate internal communications and alignment across departments and stakeholders
  • Proactively address roadblocks and adapt plans to meet evolving priorities
  • Ensure the quality and consistency of all external-facing work through effective checks and balances
  • Champion a culture of accountability, organization, and operational excellence
