We are seeking a highly organized and driven Executive Asset Manager to take full ownership of a managed portfolio of rental units ("doors") and deliver exceptional service to both property owners and residents. This role is ideal for someone who thrives in a fast-paced environment, has deep knowledge of local San Francisco rental laws, and is committed to delivering tangible results within compliance frameworks.
Responsibilities
Resident Relations
Serve as the primary point of contact for all resident communications.
Address repair requests, lease questions, and conflict resolution in a timely and professional manner.
Conduct move-in/move-out walkthroughs with appropriate documentation.
Owner Investor Relations
Maintain proactive and transparent communication with property owners.
Prepare monthly owner reports, recommend value-add strategies, and ensure long-term asset performance.
Educate and advise clients on regulatory compliance and market conditions.
Security Deposit Returns
Process and return security deposits, with appropriate deductions and documentation, within a timely basis of no later than 21 days, but with the motivation to have it done within 14 days or less
Coordinate with vendors to finalize invoices and close work orders swiftly.
Vacancy Turnover Leasing
Oversee the turnover process to ensure vacant units are brought to rent-ready condition within 14days of possession.
Manage advertising, pricing, showings, and application screening to secure qualified tenants quickly.
Rent Collections Delinquencies
Monitor all tenant accounts for late rent payments.
Initiate follow-up and collection efforts for rent more than 5 days late.
Coordinate with legal support for serving Pay or Quit Notices and support the eviction process when necessary.
Maintenance Work Order Coordination
Triage and assign maintenance requests based on urgency and impact.
Follow through to ensure each Work Order is marked "Completed" or "Cancelled" with appropriate notes and timeline tracking.
Communicate proactively with residents and vendors during the repair process.
New Business Onboarding
Respond to prospective owner leads the same day.
Conduct initial consultation and follow-up outreach
Qualifications
Minimum 5-10 years of experience in residential property management (multi-family or mixed portfolio preferred).
Strong working knowledge of San Francisco Rent Ordinance, California Civil Code, and Fair Housing laws.
Demonstrated experience handling full-cycle leasing, maintenance coordination, and resident/owner communication.
Proven ability to meet performance-based targets and time-sensitive goals.
Excellent verbal and written communication skills.
Tech-savvy: Proficiency in property management software (e.g., RentVine, AppFolio, Buildium, or equivalent), Google Workspace, and task management tools.
California Real Estate License preferred (or willingness to obtain within 6 months).
Strong customer service orientation with the ability to problem-solve under pressure.
Reliable transportation and the ability to conduct on-site property inspections and meetings.
Detail-oriented.
Strong organizational skills.
Ability to Muti-task.
Project management experience is a plus.
Bilingual (Cantonese, Mandarin, or Spanish) preferred.
