We are currently seeking an experienced Business Operations Specialist who will be supporting various company-wide operational and administrative tasks across multiple departments. This position will assist the Director of Business Operations to oversee facilities, print services, office leases, vendor management, and insurance coordination. You will work closely with internal teams and external vendors to ensure the smooth functioning of day-to-day operations, including office setup, equipment procurement, and the handling of insurance and vehicle-related tasks. This position will be located at our Baltimore office.

The expected compensation range for this position is $70,000.00 - $130,000.00 per year. This range represents a good faith estimate for this position. You will work closely with internal teams and external vendors to ensure the smooth functioning of day-to-day operations, including office setup, equipment procurement, and the handling of insurance and vehicle-related tasks. This position will be located at our Baltimore office.
Responsibilities will include support of:
- Coordinating all aspects of facility leasing, and the planning, design, construction and move coordination for new, renovation or expansion of offices.
- Preparing monthly office status reports and facilitate tracking of lease renewals.
- Handling security, parking, and garage management tasks, resolving access issues.
- Processing and approving vendor invoices and facilitate payments.
- Coordinating insurance renewal applications.
- Managing vehicle fleet requirements to include leasing, maintenance, and related logistics.
- Purchasing and delivery of office equipment and supplies, including business cards.
- Managing office equipment services and troubleshoot maintenance issues.
- Strategic Planning and Decision-Making: Strong problem-solving abilities, with a focus on improving operational efficiency, managing change, and executing business strategies with a keen attention to detail.
- Project Management: Expertise in planning, coordinating, and executing multiple projects simultaneously, ensuring they are completed on time and within budget.
- Vendor and Contract Management: Strong experience in managing relationships with suppliers, contractors, and other external partners, as well as negotiating terms and managing contracts.
- Financial Management: Ability to manage budgets, control expenses, and process invoices.
- Communication: Excellent verbal and written communication skills to engage with internal teams, external vendors and senior leadership.
- Fleet Management: Knowledge of business insurance policies and vehicle fleet management.
Requirements:
- A bachelor's degree in Business Administration, Operations Management, or a related field.
- At least 10 years of experience in business operations, with a proven track record of managing teams and operational processes. Experience in a similar industry or with specific functions like facilities management, procurement, or logistics is valuable.
- Prior experience in a leadership or assistant director role, managing operations, teams, or business functions.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage multiple vendor relationships.
- Knowledge of business insurance policies and vehicle fleet management.
- Proficient in managing office supplies, contracts, and internal communications.
- Excellent communication skills, both written and verbal.
