Position Summary
The Director of Multifamily Maintenance Operations will lead all maintenance functions across ARTISAN's expanding portfolio of multifamily communities throughout the Midwest. This hands-on role focuses on driving operational excellence, improving cost efficiency, and ensuring the highest standards in safety and maintenance quality. The successful candidate will be a data-driven leader and will play a key role in optimizing maintenance KPIs, vendor management, and standardizing processes while leading and mentoring a growing team. As ARTISAN expands, the Director of Maintenance Operations will directly influence the growth and efficiency of maintenance operations for owned and managed assets, integrate new properties, and lead initiatives for continuous improvement.

As ARTISAN expands, the Director of Maintenance Operations will directly influence the growth and efficiency of maintenance operations for owned and managed assets, integrate new properties, and lead initiatives for continuous improvement.
PRINCIPAL ACCOUNTABILITIES
Leadership & Operational Oversight
- Conduct all business in accordance with ARTISAN policies and procedures, as well as applicable laws, including Fair Housing, ADA, Fair Credit Reporting Act, and other relevant regulations. Monitor key policy compliance, including key control policies.
- Establish and monitor performance metrics such as cost per turn, resident satisfaction, vendor pricing, and service contract negotiations to improve operational efficiencies across all owned and third party managed assets.
- Optimize maintenance technician on-call scheduling across all multifamily properties, ensuring adequate coverage and efficiency.
- Coordinate and deliver virtual and in-person technical training and classroom instruction to maintenance technicians. Facilitate external ongoing education and certifications to ensure all maintenance team members meet ARTISAN's performance and compliance standards.
- Collaborate with the Construction team, Asset Managers, Community Managers, and Regional Managers to assess capital needs and execute renovation and improvement projects. Align project planning with ownership goals and operational timelines to ensure timely, cost-effective delivery.
- Implement and optimize centralized maintenance services across the portfolio, including developing on-call scheduling, team performance, and operational best practices.
- Accountable for the recruitment, training, and development of maintenance personnel to strengthen team capabilities and deliver ARTISAN's elevated standard of maintenance excellence.
- Develop and create a Mentorship Program among Maintenance Technicians.
- Establish and monitor performance metrics such as cost per turn, resident satisfaction, vendor pricing, and service contract negotiations to improve operational efficiencies across all owned and third party managed assets.
- Conduct quarterly property audits of all multifamily properties and provide reports to leadership, highlighting key findings and actionable recommendations.
- Oversee the annual pool opening and closure process for all owned and managed multifamily properties.
- Partner with the Training and Development Coordinator to identify skill gaps, co-develop training plans, and ensure alignment between operational needs and technician development. Monitor progress and hold team members accountable to training milestones.
Maintenance Program & Process Improvement
- Lead the development and execution of preventive maintenance programs, ensuring all properties follow consistent, proactive maintenance schedules. Resolve recurring or complex maintenance issues impacting resident satisfaction.
- Provide remote support to teams from the office for complex technical issues, equipment troubleshooting, and warranty resolution.
- Evaluate and implement cost-saving initiatives, recommending value-added services, products, and improvements to streamline operations. Evaluate trends for purchasing and training based on recurring maintenance issues.
- Ensure full compliance with OSHA, EPA, and local building codes by conducting regular safety meetings, equipment inspections, and emergency drills. Oversee the proper use of PPE, and lead training initiatives on risk mitigation protocols including Lead Paint, Asbestos, Mold, and fire/life safety systems. Continuously evaluate and recommend improvements to safety policies to reduce liability and ensure team preparedness.
- Manage vendor relationships, ensuring cost-effective contracts and quality service delivery across all properties.
Due Diligence & Expansion
- Lead due diligence efforts for acquisition of multifamily properties, ensuring maintenance needs and systems are assessed and integrated smoothly.
- Develop integration plans for newly acquired properties, ensuring all maintenance systems are standardized and aligned with ARTISAN operations.
Technology & Innovation
- Utilize management software (e.g., AppFolio, Yardi, Entrata) to track work orders, monitor KPIs, and streamline communication between teams.
- Foster a culture of stewardship and continuous improvement by evaluating innovative technologies and processes to enhance maintenance operations.
- Implement smart maintenance solutions for energy efficiency, predictive maintenance, and system automation.
Budgeting & Reporting
- Collaborate with Regional Managers to develop annual maintenance budgets for all multifamily properties, ensuring alignment with ARTISAN financial goals and performance metrics.
- Demonstrate strong business acumen with the ability to analyze and articulate key data insights. Provide monthly reports to senior leadership, highlighting project statuses, operational challenges, and initiatives for improvement.
- Analyze cost controls, inventory usage, and work order trends to identify areas for improvement. Make recommendations to ownership accordingly.
Qualifications & Experience
- 10+ years of experience in multifamily maintenance or facilities management, with 5+ years in a senior supervisory role overseeing maintenance operations across multiple locations.
- High school diploma or equivalent strongly preferred; college-level or trade school preferred.
- Strong history of process improvement, cost control, and vendor management.
- Ability to manage key performance indicators (KPIs) and operational dashboards.
- Must be EPA and CPO certified.
- Preferred certifications: OSHA, CAMT, and additional credentials such as boiler license, electrical, plumbing, and first aid.
- Valid driver's license with the ability to travel up to 30% of the time across properties within the Midwest; some travel outside of the region may be required.
- Ability to troubleshoot and repair HVAC equipment, plumbing systems, electrical systems, all major appliances, pool and spa equipment, and other community systems.
- Strong time management skills and the ability to prioritize effectively.
- Strong customer service orientation.
- Proficient in Microsoft Word, Excel, Outlook, and maintenance management software (e.g., AppFolio, Yardi)."
