Description:

The Executive Office Assistant will provide support for our CEO, members of the Executive Team and oversee administrative functions based out of our New York office. In this role you will be responsible for a wide variety of tasks including, but not limited to coordinating onsite and offsite meetings, calendar management, employee events, coordinating travel arrangements, office supply management, participating in administrative services team meetings and providing backup support as needed and other projects as assigned. The ideal candidate will have a high degree of professionalism, responsibility, the ability to manage multiple tasks at a time, accountability, and confidentiality. In addition, we are seeking an organized person who thrives in a fast-paced environment and demonstrate the flexibility to adapt to the evolving needs of the organization.

Responsibilities
  • Responsible for extensive organization and management of Executive-level calendars including, but not limited to CEO, CIO and CRO.
  • Book and manage travel, conference coordination/registration and onsite conference arrangement needs such as scheduling meetings with clients and reserving meeting spaces.
  • Create and execute expense reports.
  • Responsible for overseeing front desk duties such as checking in visitors, maintaining visitor logs, creating FedEx shipments and overseeing incoming/outgoing mail.
  • Manage and maintain weekly grocery and supply orders.
  • Coordinate with external service providers for copy machines, shred bins and water filtration system.
  • Partner with property management team for onsite visitors and vendors, placing work orders and other building related items.
  • Assist with security badges and any new hire related items.
  • Work closely with management to improve and enhance efficiencies.
  • Partner with internal IT team on any office equipment related matters.
  • Represent Two Harbors professionally to internal and external customers.
  • Proactively develop relationships with other key external contacts and gain recognition as a team resource.
  • Develop and demonstrate a solid working knowledge of Two Harbors (and RoundPoint) structure, service lines, key personnel, and policies and procedures.
  • Incumbent will be responsible for meeting our commitment to compliance.
  • Other duties as assigned.


Qualifications
  • 3+ years of Executive level support experience, preferably within a financial services firm.
  • Bachelor's Degree required.
  • Expertise in MS Office (Outlook, PowerPoint, Word, Excel).
  • Ability to collaborate effectively and respectfully across diverse audiences and teams.
  • Must have proven organizational skills, a strong attention to detail and excellent communication skills.
  • Excellent written and verbal communication skills as well as time management.
  • Proactive approach, strong problem solving and critical thinking skills.
  • Ability to work independently and as part of a team. The ideal candidate will be self-motivated and be able to work under pressure and manage multiple deadlines.
  • Demonstrated time management skills with the ability to continuously assess and reprioritize workload.
  • Capable of complex calendar management including travel arrangements as well as expense reporting.
  • Flexible and agile work style with the ability to work efficiently as part of a greater team or independently.
