Description:

The Supervising Senior Financial Analyst is a key player in the Internet Archive's finance department maintaining confidentiality and security of the Internet Archive's financial activities and records.

Supervise an accounting specialist and oversee Accounts Payable/payment processing, providing guidance and improving processes:
  • Review/Reconcile outgoing bank accounts and payroll expenses
  • Review of petty cash and personnel reimbursements for expenses.

Accounts Receivable:
  • Coordinates with Scanning Center Managers and Web Archivists, prepares customer and partner invoices
  • Records electronic donations and payments (Wires and ACH payments received)

Review and analyze Archive expenditures:
  • Prepares monthly analysis of credit cards
  • Assists with Archive cash planning needs and forecasting of expenditures

Financial Controls and Compliance:
  • Owns and/or assists in the monitoring of financial controls and compliance:
  • Bank accounts
  • Petty cash accounts
  • Credit card statements
  • Reviews A/P and A/R activities, looking for discrepancy and ensuring they are resolved.

Other Responsibilities:
  • Continuous process improvement of the Archive's financial and business processes
  • Assists in the selection, review and adoption of cloud accounting and ERP systems
  • Provides ongoing support and participation of audits and tax filings
  • General support of the Finance and Administration teams.
  • Adhoc projects as assigned by the Director of Finance or Deputy Director of Finance.
  • Provides leadership when representing Finance Dept

Qualifications:
  • Minimum Bachelor's Degree in Accounting or Finance
  • Minimum of 5 years experience
  • Thorough/In-depth knowledge/understanding of Quickbooks Premier or Enterprise
  • Excellent communication and problem-solving skills, along with a process driven thought process.
  • Flexibility and diplomacy in handling sensitive information and working with Archive staff.
  • The employee will view, have access to and work with sensitive and confidential data. The employee in this position must adhere to strict confidentiality policies and procedures.
  • Highly organized and ability to juggle the needs of several corporate entities.
  • Self-starter and motivated team player, with a sense of humor.
  • Nonprofit experience preferred but not required.
