As the Head of Household Operations, you will serve as the key operational leader overseeing the management of multiple high-end residences, an executive office, and all supporting staff and vendors.
This role is critical to the long-term success of the household and executive operations. You will lead property logistics, staff coordination, vendor relations, tech systems oversight, and ensure white-glove service is maintained across all environments.

We consider the Private Properties & Office Affairs division a cornerstone of the executive operations team. We take immense pride in our work, carrying forward the tone and values of the founders in every task, from managing major estate transitions to overseeing the day-to-day refinement of household and office operations.
In this role, you'll be responsible for everything from supervising property renovations to coordinating guest and event logistics, managing vendor performance, supporting seasonal and security prep, and ensuring impeccably maintained private and professional spaces.

Responsibilities:
Vendor & Staff Management
- Oversee all vendors and service providers.
- Ensure all vendors and service providers are regularly scheduled and check for quality assurance
- Landscaping
- Pest Control
- Pool Maintenance
- Trash - Republic Services
- Utilities - Electricity, Gas, Water
- Manage and supervise housekeeping staff:
- Establishing cleaning and organizational standards and schedules
- Conduct regular quality assurance checks
- Coordinate with vendors for events, company gatherings, or guest stays:
- Manage catering, valet, rentals, staffing, and cleanup
Tech & Network Oversight
- Manage tech vendor(s) for:
- Wi-Fi coverage and internet speed throughout the home
- Smart home systems: lighting, climate control, media, and security
- Troubleshoot tech issues as needed and ensure all systems remain operational
- Maintain general working knowledge of all in-home technology
- Conduct regular quality assurance checks
Household Operations
- Conduct regular property walk-throughs and identify maintenance needs
- Track utility usage and prevent waste or overuse
- Use Asana to manage checklists, tasks, and updates
- Use Slack to coordinate with the EA team and vendors
- Route updates, approvals, and issues through the Executive Assistant team prior to homeowner communication
Grocery & Supply Management
- Handle weekly grocery shopping and specialty food or drink orders
- Maintain pantry, fridge, personal care items and household essentials based on preferences
Home Organization
- Ensure home items are organized using an approved organizational vendor
- Maintain and uphold established organizational systems throughout the home
- Conduct regular quality assurance checks
Home Upgrades & Renovation Oversight
- Manage home improvement projects, including:
- Contractor selection and scheduling
- Budget tracking and reporting
- Progress updates communicated via Asana to the EA team
Administrative & Budget Oversight
- Track and organize vendor invoices, receipts, and service contracts
- Prepare and submit monthly summaries to the Lead Executive Assistant
- Monitor costs and identify areas to optimize spending
Security, Seasonal Prep, and Event Support
- Ensure all systems (HVAC, pool, spa, security) are functioning properly
- Prepare the home for seasonal transitions, travel, or guest arrivals
- Coordinate decor for all seasons throughout the year
- Oversee all logistics for in-home events, from prep to breakdown
- Catering, staffing, clean up
- Act as POC for all in-home events
- Provide white-glove service to all guests
- Conduct regular quality assurance checks
Security & Surveillance Coordination
- Work directly with the Head of Security and the household security team to ensure safety protocols are followed.
- Coordinate approved vendor/guest access
- Ensure the home is secure during travel, guest stays, and overnight hours.
Transition & Ongoing Property Management
- Support the move from the current condo to the new estate residence:
- Coordinate movers, vendors, logistics, and setup at the new property
- Oversee packing, labeling, and organizational systems during the move
- Post-move, manage both the new estate and condo as needed:
- Coordinate maintenance, cleaning, and readiness of the condo for guests or secondary use
- Oversee office property management, including supply stocking and light facilities upkeep
Create and maintain Standard Operating Procedures (SOPs) for all major household and property operations
- Ensure consistency in processes across all properties
- Track vendor activity, maintenance schedules, and service history in Asana
- Maintain clear records and status updates for EA team visibility

- Smart home systems and the internet remain fully operational with minimal disruptions, and any tech issues are swiftly resolved.
Organized and Well-Stocked Household
- Home is consistently clean, well-organized, and stocked with groceries and supplies tailored to homeowner preferences.
High-Quality Guest Experience
- All guests experience white-glove service with no detail overlooked, including seamless event execution and seasonal decor.
Secure and Protected Environment
- All security protocols are followed, and the home is safe and secure at all times, especially during travel and overnight hours.
Flawless Property Transition
- The move from condo to estate is smooth, organized, and efficient, with no disruption to daily life. Both properties remain in excellent condition post-move.
Operational Excellence
- All SOPs are current and clearly documented. Asana is used actively to track tasks, vendor schedules, and ongoing maintenance. EA team is kept fully informed.
Budget & Administrative Accountability
- Invoices, receipts, and vendor agreements are accurately tracked and submitted. Spending is monitored and optimized across all categories.
Experience
- 5+ years in luxury estate/property/household management or similar operational roles
- Proven experience overseeing vendors, tech systems, and large-scale home operations
- Event coordination and staff supervision background preferred
Skills
- Strong organizational and multitasking skills
