The Ebilling Supervisor's role will be to ensure the proper set-up and continued maintenance of the Firm's ebilling and task code activities. Reporting to the Senior Manager of Client Operations, this individual will oversee administration of ebilling activities, including: supporting client onboarding to ebilling vendors, timely ebill submission processes, troubleshooting ebilling issues and rejections, identifying and submitting new timekeeper rates to vendor sites, reviewing and managing vendor invoices, reviewing client guidelines as they relate to billing/ebilling requirements, and the ongoing assignment and maintenance of the Firm's and client's task codes.

This is a high-profile role within the Firm and will require daily interactions with the Firm's partners and senior management. Consequently, a high level of personal confidence and professionalism is required.

Responsibilities

  • Supervising a team that is responsible for the oversight of over 15 ebilling sites and collaborating with all global billing teams to ensure all compliance issues are addressed timely
  • Supervising the set-up and ongoing maintenance of all Firm and Client task codes by ensuring prompt completion and consistent implementation of Phase, Task and Activity codes.
  • Supporting all aspects of ebilling for Firm clients, including monitoring of submitted invoices, submission of timekeeper rates, and new client/matter setups
  • Submitting ebills to clients using eBillingHub and various ebilling vendor sites
  • Reviewing Outside Counsel Guidelines to support proper ebill set-up and submissions
  • Managing the bi-monthly new timekeeper identification and rate submission processes for ebilling clients
  • Providing assistance to Client Operations Billing teams with regard to ebilling issues
  • Ensuring that reduced and rejected ebills are attended to on a timely basis
  • Diligently reviewing statuses of submitted ebills to monitor for rejections
  • Troubleshooting ebill reductions and rejections
  • Communicating with Client Operations Billers regarding pending invoices to be resubmitted or appealed
  • Providing reports and analysis as requested by Partners and Management
  • Special projects as assigned
  • Ensure adherence to Firm policies
  • Proactively seek and identify enhancements to, and maintain current documentation of existing practice


Qualifications

  • Bachelor's degree required
  • Minimum of 5 years legal ebilling experience using various platforms required
  • Supervisory experience required
  • Advanced knowledge of LEDES format standards and UTBMS coding
  • Experience using eBillingHub or BillBlast required
  • Expertise with various ebilling vendor sites is required
  • Experience with task code set-up and maintenance preferred
  • Experience with Aderant or similar legal finance platform preferred
  • Proficiency in MS Word, Excel, and Outlook
  • Strong written and verbal skills
  • Strong Excel and analytical skills
  • Ability to work under pressure and meet deadlines
  • Ability to manage high volume request with great attention to detail
  • Ability to prioritize
  • Professional written and verbal communication to engage with all levels of management, both internal and our clients, required
  • Good interpersonal skills in order to work effectively with the Client Operations Billing Teams (must be a team player and have superior customer service skills)
  • Ability to adapt to cyclical periods, peak workloads, new assignments and deadlines in order to work effectively within a fast-paced environment
  • Flexibility to work overtime, as needed, to perform the essential duties of the position


This position may require physical presence in Proskauer's offices on a regular basis. The anticipated compensation range for this position is $110,000 - $140,000. The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
