As our Payroll Administrator, your mission is to ensure every employee is paid correctly and on time, upholding the highest standards of accuracy, confidentiality, and compliance. You will play a critical role in executing seamless payroll operations across multiple states and jurisdictions, maintaining data integrity, and supporting our Total Rewards strategy.
With a focus on service excellence, process improvement, and attention to detail, you will partner with HR, Finance, and external vendors to deliver efficient payroll processing and contribute to a positive employee experience. Your contributions will directly support employee trust and operational success across the organization.

As our Payroll Administrator, your mission is to ensure every employee is paid correctly and on time, upholding the highest standards of accuracy, confidentiality, and compliance. This role will manage payroll operations, maintain compliance with evolving payroll regulations, and administer 401K and pre-tax benefits (e.g., FSA, Dependent Care, commuter benefits) with precision and minimal supervision.
Key Performance Objectives
- Accurate and Timely Payroll Processing: Manage end-to end payroll with 100% accuracy, ensuring compliance with federal, state, and local tax laws and company policies. This includes reviewing and entering new hires, terminations, compensation changes, benefit deductions, 401(k) deferrals, tax withholdings, and other employee changes to ensure accurate and timely pay delivery
- Multi-State & Jurisdiction Compliance: Strong understanding of payroll tax laws, tax registrations, and compliance across jurisdictions. Maintain up-to-date knowledge of multi- state payroll regulations, adjusting processes proactively to ensure compliance and minimal risk exposure
- Cafeteria Plan Administration: Efficiently manage employee contributions, deductions, and compliance for FSA, Dependent Care, and commuter benefits, ensuring smooth operations and accurate reporting
- Payroll System Expertise: Optimize payroll system configurations, troubleshoot discrepancies, and partner with HR, Finance, and external vendors to streamline payroll processes
- Independent Problem-Solving: Identify payroll discrepancies, resolve tax and compliance issues, and proactively suggest process improvements with minimal supervision
- Audit & Reporting Excellence: Conduct regular reconciliations and audits to ensure payroll and W-2 accuracy, prepare reports for leadership, and support external audits with complete documentation. Maintain proper documentation for internal and external reviews and ensure payroll records are audit-ready at all times
- Employee Support & Education: Serve as the primary payroll contact, responding to employee inquiries timely with clarity and professionalism, ensuring a seamless payroll experience

- Attention to Detail: Spots discrepancies, verifies accuracy, and ensures clean data entry
- Accountability & Ownership: Manages payroll autonomously, meets deadlines, and ensures high-quality work without constant oversight
- Proactive Problem-Solving: Anticipates issues before they arise, researches solutions, and continuously seeks ways to improve payroll processes
- 401(k) & Benefits Administration: Experienced in managing pre-tax benefit deductions and retirement plan contributions
- Auditing & Compliance Knowledge: Prepares for audits with confidence and maintains organized records
- Process Optimization: Skilled in developing workflows and introducing automation and enhancements
- Technical Proficiency: Experienced in payroll software (ADP preferred), Excel (VLOOKUPs, pivot tables), and reporting tools
Qualifications:
- Bachelor's degree in finance, accounting, or equivalent field
- Certified Payroll Professional (CPP) preferred
- 5+ years of payroll processing and HRIS systems experience
- 2+ years of experience with ADP Workforce Now and/or Celergo strongly preferred
- Proven experience processing multi-state payroll
- Advanced MS Excel skills
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Upholds confidentiality and demonstrates professionalism, integrity, and responsibility
- Proactive and able to work autonomously when necessary
- Capability to work with large volumes of data and numerical analysis
- Must be over 21 years of age and eligible to work in the U.S.
