The Recruiting Operations Manager helps develop and oversee a streamlined recruitment process that effectively sources, tracks, and secures high-quality candidates who align with an organization's goals.
This role is an integral part of the talent acquisition team and specializes in monitoring trends, analyzing data, building workflows, automating processes, and implementing tools to help reduce hiring costs and maximize organizational resources. They also collaborate with hiring managers and HR to understand staffing needs and develop recruitment strategies to attract and find candidates. A traditional recruiter focuses on searching for and screening potential candidates; a recruitment operations manager helps optimize the entire recruitment process to be more efficient and effective.

The Recruiting Operations Manager helps develop and oversee a streamlined recruitment process that effectively sources, tracks, and secures high-quality candidates who align with an organization's goals.
This role is an integral part of the talent acquisition team and specializes in monitoring trends, analyzing data, building workflows, automating processes, and implementing tools to help reduce hiring costs and maximize organizational resources. They also collaborate with hiring managers and HR to understand staffing needs and develop recruitment strategies to attract and find candidates. A traditional recruiter focuses on searching for and screening potential candidates; a recruitment operations manager helps optimize the entire recruitment process to be more efficient and effective.
Responsibilities:
- Oversee the recruitment cycle. This can include everything from resume evaluation and conducting interviews to implementing strategies and processes to streamline the recruitment process.
- Manage recruitment technology. Recruitment operations managers use applicant tracking systems (ATS) to streamline the recruitment workflow by scheduling interviews, reviewing candidates, tracking hiring data, and monitoring candidate status.
- Develop and maintain recruitment metrics and KPIs. Using Greenhouse, track key metrics like cost per hire, time to fill a position, offer acceptance rate, candidate sourcing, application completion rate, and the quality of a hire.
- Ensure compliance with hiring laws and company policies. This includes laws, regulations, and industry standards.
- Collaborate with recruiters, HR teams, and hiring managers. This is crucial to aligning organizational goals and staffing needs with the right recruitment strategies.
- Improve candidate experience and elevate employer branding. Develop strategies and systems to create positive candidate experiences that help build brand credibility and attract quality talent.
- Manage budget. Monitor recruiting costs and collaborate with other stakeholders to align the budget with recruitment strategies that meet organizational needs.
- Design and implement overall recruiting strategy
- Develop and update job descriptions and job specifications
- Perform job and task analysis to document job requirements and objectives
- Prepare and post jobs to appropriate job boards
- Source and attract candidates
- Screen candidates resumes and job applications
- Conduct interviews using various reliable personnel selection tools/methods to filter candidates
- Assess applicants' relevant knowledge, skills, soft skills, experience and aptitudes
- Monitor and apply HR recruiting best practices
- Provide analytical and well-determined reports to the rest of the HR team
- Act as a point of contact and build influential candidate relationships during the selection process
Requirements:
- Bachelor's degree (or equivalent) in human resources or business management or related field
- Expertise in recruitment tools, ATS (Greenhouse/ADP). Deep understanding of recruitment tools to build, maintain, and optimize recruitment strategies.
- Process improvement and workflow automation experience. Establish automated workflows to streamline candidate sourcing, communication, and scheduling.
- Knowledge of labor laws and regulations.
- Communication and stakeholder management skills. Effectively collaborate and build strong relationships with candidates, hiring managers, and recruitment teams.
- Problem-solving and critical thinking. Use skills to identify and solve problems that arise during the recruitment process.
- Experience managing and scaling high performing teams
- Experience in developing recruitment strategy and infrastructure (processes, budget, headcount management)
- Desire to grow professionally with networking and ongoing training opportunities
- Five or more years of experience in recruitment or human resources
- Exceptional communication, interpersonal, and decision-making skills
- Advanced knowledge of productivity software, database management, and internet search methods
- Familiarity with job boards and computer systems designed specifically for HR
- Proven success in conducting interviews using various methods (phone, video, email, in-person)
- Ability to travel when required
- Ability to work under pressure
- Excellent organizational skills
- Strong analytical and data-driven decision-making skills. Interpret data to accurately identify trends and areas for improvement that align with the budget and organizational resources.
