A Day in the LifeThe Executive Assistant I will provide executive level support to one of our C-Level Executives and assist in the day-to-day operations of the relevant department. The ideal candidate will have a high level of emotional intelligence and technical skills and will be an expert in Microsoft Office Suite, specifically, Outlook, Excel, Word, and PowerPoint. This candidate must exercise good judgment and can handle multiple projects at the same time while maintaining tight deadlines. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. Some travel may be required.

What You'll Be Doing

  • Provide high-level administrative support to a C-Level Executive, including sophisticated calendar management and meeting support.
  • Complete a broad variety of administrative tasks that facilitate the Executive's ability to effectively lead their department, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports. Ensure that the appropriate technology is leveraged to effectively execute all tasks.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive their department, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect department and organizational goals and policies.
  • Support Executive in building and managing a best-in-class team, including facilitating department communication and helping to establish and maintain department meeting cadence and team culture.
  • Coordinate and administer high-profile department initiatives, acting as a significant contributor to the overall success by incorporating creative approaches and taking initiative.
  • Serve as a liaison between the Executive and their team and the HR Department Management Team.
  • Develop, coordinate, and maintain KPIs and other department reports.
  • Support organizational communication strategies within the department, maintaining open communications with the entire team.
  • This position will be required to be in-office at the Los Angeles Headquarters Monday through Friday during normal business hours.


Your Areas of Knowledge and Expertise

  • Bachelor's degree required.
  • 1+ years of executive administrative experience supporting C-Level executives.
  • Project administrative/management experience.
  • Ability to effectively communicate with all levels of the organization.
  • Excellent organization and process/project management skills.
  • Advanced knowledge in all areas of Microsoft Suite.
  • Experience with Lucid and Monday.com preferred, but not required.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • High level of Emotional Intelligence and ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent judgment is essential.
  • Ability to switch gears at a moment's notice.
  • Excellent communication skills, both verbal and written.
  • Ability to work effectively independently and as a member of the team.
  • Commanding presence with expertise and passion to drive thought leadership and innovative strategies.

COMPENSATION RANGE

The US base salary range for this full-time position is $78,000-$90,000 annually.

Our salary ranges are determined by role, level, and location.

PHYSICAL REQUIREMENTS

This is a stationary position that requires frequent sitting (approximately 95%), repetitive wrist motions, grasping, speaking, listening, close vision, and the ability to adjust focus. It also may require occasional standing, lifting, carrying of 20lbs or less, walking, kneeling, bending/stooping, twisting, pulling/pushing, and reaching above the shoulder. Employees in this position must be physically able to efficiently perform the essential functions of the position.
