Overview of Position
Project Overview

The HR Department for Seattle Public Schools is seeking a Human Resources Coordinator on the Professional Growth and Educator Support (PGES) team. The PGES Human Resources Coordinator is responsible for leading the evaluation submission intake process and coordinating onboarding, offboarding and management of eVAL (SPS's online evaluation tool). This role will also support the PGES team with project management and implementation across our core projects from the Teacher Leader Cadre to Building Leadership Team training to Peer Assistance and Review. We are looking for someone who is an excellent relationship builder and a self-starter who is interested in solving problems by developing creative solutions.

Essential Functions
30% Manage Evaluation Submission process yearly
  • Setup and maintain sharepoint evaluation submission site (create new folder structure, manage permissions, etc.)
  • Leverage Excel for tracking submission of all evaluations
  • Manually enter evaluation scores and cycle information into Sharepoint for staff who are not evaluated on the electronic data tool (roughly 1500 employees)
  • Monitor evaluation data for accuracy and escalate issues to appropriate supervisors
  • Monitor/triage support mailboxes and respond to user questions
  • Prepare and distribute reports to District leadership showing progress-to-date
  • Prepare/distribute communications as needed to District staff related to the new Intake Process

  • Serve as a Seattle Public Schools security manager for the Office of Superintendent of Public Instruction (OSPI) Education Data System (where our online evaluation tool is hosted) in order to add and remove employees to the online evaluation tool, eVAL.

  • Support Professional Growth and Educator Support (PGES) team with trainings, project management, logistics and other projects as assigned.

  • Serve as the PGES team's project management expert and keep team on track toward meeting critical milestones.

  • Process reimbursements and purchases for PGES team.

  • Monitor budget for PGES org and keep Director up-to-date on spending.

Desired Skills/Experience:
  • Excel: Sorting and filtering (required) and pivot tables (preferred)
  • Basic management of sites in SharePoint 2013 including ability to author, edit, and review SharePoint documents and lists (this experience could be substituted for demonstrated ability to learn new technology in short time frame)
  • Understanding of how to check and maintain data quality according to business rules
  • Excellent customer service skills; high degree of comfort interacting with staff of all levels and being responsible for repetitive manual processes
  • At least four years working in a complex organization/ office environment, interacting with a wide variety of staff, using MS Office and Outlook and working closely with Excel data (filtering, sorting, reporting)

Supervision:
  • After initial training and coaching, this person would be expected to work independently with minimal supervision. HR management and project team members, including a senior data analyst, will be on-hand to provide training, coaching, and assistance problem solving; however, the person will be expected to learn quickly, apply what they have learned, and to know on their own when to ask for additional help, when to escalate an issue and how to manage their workload.

  • Excels in project management and has experience leading technical and functional project teams.

  • Experience with project management tools such as SmartSheet or other equivalent.

EXPERIENCE/EDUCATION:

A typical way to obtain the knowledge and abilities would be:

Three to five (3-5) years of HR related work experience, demonstrating leadership qualities; HR Certification or related Associate Degree; or an equivalent combination of education and experience.

Any equivalent combination of education, experience and training that provides the required knowledge, skills and abilities to perform the work will be considered.
