Acting as a key point of contact for internal and external stakeholders, you will assist in the planning and execution of school events. HOW YOU WILL SUCCEED:
- Provide administrative and technical support to the Head of the School and Academic operations team, by managing logistics and planning academic events across different information systems
- Act as the main liaison for academic related events and ensures collaboration across various units and departments.
- Oversee the faculty internal and external coverage system, ensuring all faculty absences are appropriately managed
- Manage and oversee the school's consent and trip permission process, and offer training to faculty
- Gather, summarize, and disseminate a wide range of information to support School programming
- Participate in projects and prepare presentations and documents for meetings
- Responsible for the coordination and execution of closing day nominations, awards and event rentals
- Work across the School with different departments, stakeholders and external agencies to ensure initiatives and events are organized effectively, attending as needed during evening and weekends
- Responsible for the coordination of academic schedules, inputting data, reviewing event approvals, uploading event timing and dates
- Manage confidential School and student matters through the direction of the Head of School
- Coordinate new faculty orientation, ensuring all logistics, resources and presentations are organized effectively and made available on necessary platforms
- Complete and file necessary notices, applications and other educational documents for appropriate agencies and associations
WHAT YOU BRING:
- A post-secondary education or experience in business administration or technology related field
- Strong organizational and time management skills with the ability to prioritize tasks effectively
- Ability to handle multiple projects and meet deadlines without compromising quality
- Strong customer service orientation and effective interpersonal skills to work with students, faculty and staff, with a professional and approachable demeanor
- A high level of proficiency in using computer software programs including Microsoft Office Suite with strong Excel skills.
- A proven track record in maintaining confidentiality and managing sensitive information
- Prior experience in administering academic systems, e.g. Blackbaud, room booking systems, calendaring is an asset
- Problem-solving ability with a proactive and flexible approach to challenges
