Position Overview

We are seeking an experienced and highly organized Manager of Operations to oversee key operational functions within our insurance company, specifically focusing on Accounts Receivable, Treasury, and Compliance. The successful candidate will be responsible for ensuring the efficient and effective management of these critical areas while adhering to regulatory standards and maintaining financial accuracy. This is a hands-on role requiring a proactive leader to directly manage and support team members in day-to-day operations. The Manager of Operations will lead a dynamic team and collaborate with internal stakeholders to optimize business processes and improve overall operational performance.

Essential Functions

Accounts Receivable Management:
  • Oversee the day-to-day management of the Accounts Receivable department to ensure timely and accurate invoicing, collections, cash applications and agent commissions.
  • Establish and maintain effective control processes to minimize outstanding receivables and improve efficiency of reporting across multiple systems
  • Monitor and report on aging reports, providing regular updates to senior management on collection performance.
  • Collaborate with other departments to resolve billing and payment discrepancies.
  • Lead the monthly and quarterly reconciliation and reporting processes for accounts receivable.
  • Hands-on involvement in reviewing account balances, initiating follow-ups, and supporting the team with difficult accounts.

Treasury Management:
  • Manage daily cash flow operations, including cash forecasting, liquidity management, and optimizing cash resources.
  • Oversee bank account management, ensuring funds are allocated efficiently and in accordance with operational needs.
  • Assist in identifying and resolving any discrepancies or issues related to cash and banking transactions.
  • Hands-on management of bank reconciliations, including unclaimed property reporting, ensuring accuracy between the bank statements and internal records.

Compliance Oversight:
  • Manage monthly, quarterly and annual premium and surplus lines tax filings for various states and jurisdictions, ensuring compliance with local and federal regulations.
  • Review of tax support and filings in collaboration with third party premium tax provider ensuring all filings are completed timely and accurately.
  • Review of reconciliations, monthly and quarterly reporting, including premium tax calculations for year-end accruals.
  • Coordinate with legal and compliance teams to assist internal audits and maintain documentation for external audits.
  • Monitor changes in state and local premium tax laws and regulations, ensuring the company stays compliant with any updates.
  • Assist compliance team with complex issues and serve as backup during high-pressure periods, ensuring continuity in regulatory compliance activities.

Team Leadership:
  • Lead, develop, and mentor a team of professionals in the Accounts Receivable, Treasury, and Compliance departments.
  • Provide performance management, coaching, and training to enhance team capabilities and foster a high-performing work environment.
  • Promote cross-functional collaboration to streamline processes and improve operational efficiency.

Job Requirements

Education, Experience, Licenses and Certifications:
  • Bachelor's degree in accounting or finance
  • Minimum of 5-7 years' experience in operations management, with a focus on accounts receivable, treasury, or compliance, preferably in the insurance industry.
  • Minimum of 1 year in a management role preferred
  • Professional certifications such as CPA, or equivalent are a plus.
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.

Knowledge, Skills, Abilities:
  • Strong understanding of insurance industry regulations and financial compliance requirements preferred, not required
  • Strong leadership and team management skills, with the ability to motivate and guide a diverse team.
  • Exceptional analytical and problem-solving abilities.
  • Excellent communication skills, with the ability to interact effectively with both internal teams and external stakeholders.
  • Proven ability to lead, coach, and develop teams; skilled in delegation, conflict resolution, performance management and team building.
  • Willingness and capability to be involved in day-to-day details while maintaining a strategic oversight role.
  • Ability to remain flexible and adjust priorities to meet deadlines.
