Cohesity is looking for a proactive and detail-oriented Workplace Coordinator to support seamless daily operations and provide exceptional administrative assistance. Reporting to the Sr. Manager of Workplace AMER, you'll play a vital role in maintaining an organized, efficient, and welcoming office environment. If you're a communicative team player with strong organizational skills and a knack for creative problem-solving in a fast-paced setting, we'd love to have you on board!

Disclosure Pursuant to Applicable State Equal Pay Transparency Laws - This position has a starting pay range as listed below. Actual salary depends upon many factors, including a candidate's skills, qualifications and experience, location, and salary expectations, and therefore a starting salary at the low end, high end, or even above the stated range may be offered. This position may also be eligible for bonus compensation, commission (if in a sales function), and/or equity grants. Additionally, full-time employees are eligible to participate in our comprehensive benefits framework, including health and wellness benefits, vacation, paid holidays and refresh days, 401(k) retirement plan, life and disability insurance coverages, and other benefits the Company may offer from time to time.
Pay Range :
$72,000.00-$90,000.00

HOW YOU'LL SPEND YOUR TIME HERE
- Office Maintenance & Repairs: Oversee office maintenance requests, ensuring issues are addressed promptly.
- Meeting Room Management: Coordinate and prepare meeting rooms for various internal and external events, including team meetings, all-hands meetings, and Board of Directors meetings.
- Event Planning: Organize food orders, employee-hosted events, weekly/monthly lunches, and business-related meeting logistics, including event setups and cleanups.
- Mail & Package Management: Sort, distribute, and process incoming mail and packages.
- Supply Management: Maintain office supplies inventory, ensuring snacks and supplies are restocked as needed.
- Administrative Support: Assist the Workplace team with special assignments, overflow tasks, and provide backup support when needed.
- Workplace Requests: Address, assign, and resolve workplace service requests in a timely manner.
- Lobby Coverage: Provide daily backup coverage for the 5th-floor Main Lobby area, assisting employees and vendors with check-ins and badge distribution.
- Visitor & Employee Assistance: Greet and assist clients, visitors, and employees with a positive, helpful attitude.
- Security & Attendance: Manage workplace security by issuing and collecting badges and maintaining visitor systems. Track employee attendance, update seating charts, and nameplates as necessary.
- Vendor Management: Collaborate with property management and suppliers to coordinate work and access requests.
- Financial & Budget Support: Partner with Workplace Management to manage budgets, track expenses, and handle PO creation, invoice management, and accruals.
- Cleanliness & Facility Maintenance: Communicate with janitorial staff to address cleanliness issues and schedule maintenance. Conduct daily walkthroughs to ensure the upkeep of common spaces, conference rooms, break rooms, and other areas.
- Reconciliation: Oversee reconciliation of department monthly p-card transactions.
- Supplier Negotiations: Work with suppliers to ensure competitive pricing and service quality.
- Event & Meeting Coordination: Partner with Executive Assistants to plan and set up meetings and events as needed.

- Customer Service: Exceptional customer service skills with the ability to engage effectively with both internal and external stakeholders.
- Experience: 3+ years of experience in an administrative or corporate office role.
- Location: Ability to work in our Santa Clara HQ office, Monday through Friday (onsite support).
- Proactive Problem Solving: Ability to be resourceful and proactive in addressing issues that arise.
- Professionalism: Always maintain a professional appearance and demeanor.
- Independence & Teamwork: Capable of working independently while also collaborating effectively with teams.
- Technical Skills: Proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).
- Additional Tools: Familiarity with Slack, Coupa, and Concur is a plus.
- Bachelor's degree is nice to have
