Duties and Accountabilities:

The VP and WB Treasurer and Pension Finance Administrator (TREVP) is seeking a Senior Financial Assistant to complement his Front Office. The Senior Financial Assistant will serve as a member of a small front office (FO) team (currently consisting of an Advisor, a Special Assistant and a Senior Financial Assistant), with the primary responsibility of assisting and supporting the FO. The Senior Financial Assistant will report to the TREVP Advisor.

As a member of Treasury's Front Office (FO) Team, the Senior Financial Assistant will support the coordination of activities relating to Treasury with members of the FO. More specifically, his/her responsibilities include, but are not limited to, the following:
Support to the TREVP FO team members and of all Treasurer-related meetings, events, and ongoing activities;

Administrative Support (60%)
Provide administrative support to the TREVP's front office.
Serve as the primary travel coordinator, ensuring effective time management; prioritizing, and following up on all necessary actions related to travel for others, including but not limited to awareness of corporate travel guidelines, travel advisories, visa procedures, expense reports, travel bookings, travel agency management, etc.
Serve as the backup to the other Sr. Financial Assistant in scheduling and coordinating meetings/appointments, and following up on all incoming e-mails, correspondence and documents, preparing responses as requested;
Help compiling, organizing, and presenting to Treasurer briefing folders containing relevant correspondence. Ensure that information is readily available, deadlines are met, and documents are of high quality and adhere to administrative and operational guidelines;
Maintaining regular contact both informally and formally with a wide range of staff to stay abreast of emerging issues requiring Treasurer's attention and establishing a program of systematic interaction with staff and follow up.
Working with a high level of discretion, judgement and tact in providing wide-ranging executive assistance support and administrative coordination across a wide span of work units within Treasury;

Technical support (20%)
Assist the TREVP Front Office members in the preparation of and responses to technical and other documents, including preparing drafts of briefs in advance of key meetings for the VP in tandem with the relevant Departments in TRE/PEN.

Events (20%)
Work closely with the TREVP Front Office members to support the organization of the VPU internal events.
Support the TREVP Front Office members with all Treasurer-related external and internal events as needed.
Develop and produce dissemination toolkits for events.

Selection Criteria
Minimum requirement is a Bachelor's degree in Economics, Finance or other similar field.
Minimum of 3 years of relevant work experience with extensive knowledge and understanding of Bank Group administrative/operational procedures.
Solid experience in MS Office suite, including Outlook, Word, and advance PowerPoint and Excel skills.
Computer savviness: sound knowledge of all relevant computer software, including advanced functions of Bank standard computer applications, and the ability to help organize data and information retrieval systems.
Sound organizational skills and ability to prioritize and deliver assignments in a timely manner.
Proactive and positive attitude, resourcefulness, reliability, and high degree of adaptability.
Demonstrated ability to work independently and constructively in a fast paced and rapidly evolving business environment.
Flexibility in work and willingness to perform additional tasks in short notice, as required.
Ability to conduct basic research and organize information in a user-friendly manner.
Excellent communication skills (both oral and written) - ability to draft a variety of correspondence, proofread and edit materials.
Diplomacy and strong interpersonal skills in order to deal tactfully and effectively with internal/external contact at all levels.
Strong commitment to work in a team-oriented and multi-cultural environment.
Highest ethical standards. High level of discretion in dealing with sensitive or highly confidential matters.

In addition to the above, candidates must demonstrate the following competencies:
Event management experience.
Demonstrate initiative, drive and attention to details.
