Position Summary

The ideal candidate will manage all instructional materials for Boerne ISD, including textbooks, software, and digital resources, ensuring accessibility across campuses and departments. This role ensures compliance with laws and policies related to instructional materials, overseeing their selection, distribution, and maintenance to meet district curriculum needs. They also assist warehouse staff to ensure timely delivery of materials to campuses and work closely with district staff and external partners to meet the district's educational goals.

The coordinator also assists in the integration of digital learning tools, ensuring effective use of software services and digital resources for staff and students. Additionally, the coordinator supports at-risk students through dropout recovery efforts, collaborating with principals to develop individualized plans.

Minimum Requirements

  • Bachelor's degree from an accredited college or university.
  • Valid Texas teaching certificate.
  • Five (5) years teaching and/or administrative experience.
  • Must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50.00) paid by the candidate.

Preferred Qualifications

  • Master's degree in Curriculum, Educational Technology, Educational Administration, Leadership, or Instructional Design.

Knowledge, Skills, and Abilities
  • Working knowledge of curriculum and instruction.
  • Familiarity with EMAT Online State Ordering System.
  • Ability to manage budgets and coordinate campus functions.
  • Ability to implement policies and procedures.
  • Strong data interpretation skills.
  • Intermediate to advanced proficiency in Microsoft Office and Office 365 (Word, Excel, PowerPoint, Skype, OneDrive, Outlook, Windows).
  • Intermediate to advanced proficiency in web and media-based educational technologies (Google Workplace For Education, Eduphoria!, Discovery Education, ThinkCentral, iStation, Lumio, Clever, etc.).
  • Knowledge of district software, hardware, and textbook administration.
  • Understanding of legislative updates related to instructional materials.
  • Knowledge of district IMA inventory system.
  • Proficiency in Windows, Google, SMART, and Apple environments.
  • Ability to evaluate and reflect on professional practice for continuous improvement.
  • Ability to work independently and collaboratively with students, teachers, and administrators.
  • Excellent oral and written communication, interpersonal, and presentation skills.

Essential Functions/Key Responsibilities

Budget & Fund Management:
  • Manage the Instructional Materials and Technology Allotment (IMTA) for Boerne ISD, including short- and long-term budget planning aligned with district and program goals. Ensure compliance with state and local instructional materials, laws and policies.

Procurement & Vendor Coordination:
  • Oversee the purchasing process for all instructional material secure quotes, negotiate pricing and terms, validate vendor agreements, acquire Data Privacy Agreements, generate purchase orders, and input data into EMAT to secure appropriate funding.

State & District Compliance:
  • Coordinate with the Texas Instructional Materials Administration; manage EMAT entries, submissions, and certifications, including required Board approvals. Recommend adjustments to district procedures as needed.

Inventory & Distribution:
  • Supervise the management, shipping, and receiving of instructional materials across campuses and the district warehouse. Handle discrepancies, organize overage inventory, and conduct annual physical inventories. Reconcile campus transfers and manage the district's instructional materials software, including its integration with Skyward.

Campus & Staff Support:
  • Supervise and train campus instructional materials coordinators and support the Teaching and Learning team in identifying and acquiring instructional resources to meet district growth.

Materials Review & Adoption:
  • Oversee all aspects of instructional materials adoption committees and reviews.

Technology & Integration:
  • Collaborate with the Technology department to support seamless integration and updates. Assist with implementing the Digital Citizenship initiative through recommendations received from the District Technology Advisory Committee.

At-Risk/Dropout Recovery:
  • Support at-risk students district-wide through home visits, individualized planning with principals, and enrollment in appropriate support programs. Track and recover students with a 98-leaver code.

Collaboration & Other Duties:
  • Respond promptly and positively to all requests for support from campus and district administrators.
  • Comply with policies established by federal and state law, State Board of Education rule, and board policy.
  • Comply with all district routines and regulations.
  • Work cross-departmentally on district initiatives and perform other duties as assigned by administration.

Supervisory Responsibilities
  • Supervise assigned staff.

Working Conditions

Tools/Equipment Used: Standard office and instructional equipment including personal computer and peripherals.

Posture: Frequent walking, Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.

Motion: Repetitive hand motions including frequent keyboarding and use of mouse. Occasional reaching.

Lifting: Occasional moderate and carrying (less than 45 pounds).

Environment: Work inside, may work outside; regular exposure to noise. May require occasional irregular and/or prolonged hours. The position may require evenings and weekends.

Mental Demands: Maintain emotional control under stress; work with frequent interruptions and prolonged or irregular hours.
